Overall Responsibility:
The Legacy and Gift Planning Administrative Assistant supports the Legacy Giving team by providing essential administrative and operational assistance.
This includes maintaining accurate records of all activities, responding to all requests in a timely manner, and always respecting the confidentiality of the department and sensitive donor information.
The Assistant will also assist with scheduling appointments, preparing letters, proposals, reports, and other communication materials, and managing the completion of requests to ensure that deadlines are met.
This role is vital in maintaining donor relationships and ensuring efficient office operations, contributing to the overall success of the legacy giving program.
Duties: Administrative Support:Prepare and organize meetings and meeting materials, including agendas, and presentations for the Legacy Giving team.Assist in the creation and editing of correspondence, and promotional materials.Donor Database Management:Create, maintain and update the donor database with accurate information regarding legacy giving prospects and donors.Assist in tracking and reporting on legacy giving contributions and activities to support fundraising efforts.Communication:Serve as a point of contact for donors, responding to inquiries and providing information about legacy giving options and benefits.Coordinate donor communications, including thank-you letters, recognition, and updates on the impact of their contributions. Maintain organized records of donor interactions, agreements, and correspondence.Event Coordination:Assist in planning and organizing donor recognition events, workshops, and seminars related to legacy giving.Coordinate logistics, such as venue arrangements, catering, and materials preparation.Research and Analysis:Conduct research on potential prospects to enhance the team's outreach efforts.Evaluate data to improve donor engagement and retention strategies. Qualifications Education and Experience:
Associate or bachelor's degree required; will consider work experience to meet requirements.
Previous administrative experience required.
Experience with donor databases and providing high-volume team support in a non-profit environment strongly desired.
Skills: Strong working knowledge of Microsoft office and advanced abilities in spreadsheet and database management.Excellent telephone manner, strong communication and proofreading skills.Well organized with outstanding time management skills.Flexible and able to manage several projects simultaneously.Excellent letter writing and verbal communication skills.Organized, with an eye for detail.Proven ability to complete assignments with limited supervision.Ability to work as team player, as well as independently.
