Position Summary Administrative Assistants are responsible for providing a high level of client service and organizational support to the team.  This position's responsibilities include managing calendars, meetings and event arrangements, processing client engagements and client relations.  Qualifications 2+ years' experience in public accounting or other professional services office settingExposure in a technical, detail oriented and paperless settingNotary Public preferredProficient in numerous software programs:MS office; including Excel, MS Word, Outlook, and PowerPointAdobeAbility to operate in a paperless environment, scanning and routing requiredTechnical Abilities Coordinate administrative and operational functions for the team including managing calendars, taking phone calls, scheduling appointments and processing mailProvide outstanding client service through meetings, communication (via phone, email or in person), troubleshooting client questions and concerns, providing timely follow up and obtaining client signatures and approvalManage projects including planning and coordinating presentations, disseminating information and organizing company eventsMaintain client records including edits, updates and new client set upProvide quality control and tracking for client facing documents and ensure client confidentialityManage the client engagement letter including distribution, tracking signatures, continual follow up and scanningProvide support for CPA's including processing of client tax returns and financial statementsScan and assemble W-2s, 1099, 1095's, tax returns, 8879's, notices, statements and additional documentsAssist in electronic filing of tax returns, acknowledgements and rejections; following up on pending e-file, transmission of tax returns and wrap up upon acceptance of returnAssist the team with monthly billing procedures, reporting, accounts receivable and collectionsMaintain supplies including monitoring inventory and re-orderingMaintain the office environmentProvide administrative support as well as back up functions for administrative colleagues throughout the firm and for the Saginaw headquarters on an as needed basis including phone coverage as well as sorting and process mailUnderstand and stay current on new technologyIncorporate new techniques and ensure minimal disruptions to productivityMust have smart phone that can be used to dual authenticate login credentials at workPersonal Development Communicate effectively in a variety of professional situationsParticipate actively in all on-the-job and formal learning and development opportunities to understand role and responsibilitiesAbility to accept and adjust to changing priorities and circumstancesPossess excellent decision-making abilityAbility to deal sensitively with confidential materialOutstanding verbal and written communication skillsExcellent interpersonal skillsProficient knowledge and use of office technology and equipmentHonesty and integrityTeamwork Ability to work in a team and take direction from multiple managersTake charge and action-oriented and persist until the task or job is completedCommunity Interest in community involvementPhysical Demands Frequent use of hands, wrists, fingers associated with computer equipment.Required to sit for extended periods of time.Occasionally stoop, kneel, crouch or crawl.Normal visual acuity, ability to talk and hear.Occasionally lift and/or move up to 20 pounds.Working Conditions On-site positionNormal office environment May on occasion be exposed to loud sounds and distracting noise levels, such as from office equipment.  Benefits & Perks!
