Position Summary

Schools of the Sacred Heart San Francisco is seeking excellent candidates for an Administrative Assistant.


Job Description:

The administrative assistant works in conjunction with another administrative assistant to help manage the school office and support the administrative team at Convent & Stuart Hall.This is a 11-month position.


Duties/Responsibilities include: Provide Administrative support to Division Heads and Grade Chairs Support school communications Generate report cards and other mailings to parents Track daily student and/or faculty attendance Support publication of weekly electronic newsletter (Thursday Notes) Coordinate substitute teachers and help arrange classroom coverage Track faculty substitutions on an hourly basis Assist Division Heads/ Grade chairs with the organization and preparation of assemblies and presentations Complete space requests for faculty and administrators Support scheduling of daily and special events Generate forms as needed Various clerical and administrative duties Other Responsibilities may include: Lunch/Recess duty Morning/Afternoon Traffic Duty Afternoon dismissal duty About Convent & Stuart Hall

Qualifications

To be considered candidates should submit a resume and cover letter displaying their qualifications in the following areas:
Bachelor's degree preferred.
Requires 2-3 years of Administrative Assistant experience, preferably in a school setting.
Strong organizational skills as well as the ability to handle multiple projects professionally.
Demonstrated ability to exercise independent judgment, prioritize tasks and work independently.
Training in first aid/CPR .
Excellent writing, communication and grammar skills.
Must be highly proficient in various technology applications and tools ; Google Suite; Microsoft Excel; database entry and reporting; Apple OS and iOS; and other technology applications database, web publishing.
Requires the ability to work well with children and adults.
Requires the ability to and work in a loud and active environment.
Must be team-oriented with excellent interpersonal and communication skills.
Experience with independent schools preferred.
Physical Requirements Regularly lifting or carrying 1-20 lbs.
Regular pushing/pulling/bending/stooping/kneeling Regularly climbing stairs** Regularly sitting or standing 4-8 hours Requires physical presence, work to be performed on campus** ** Denotes essential functions of the position
