Title:Administrative Assistant Department: Homecare & Hospice
FLSA Status: Non-Exempt
Reports To: Administrator/Director of Patient Care Services
Summary: Provides administrative support to the department.
Essential Functions:
1.
Answers phone calls from referrers, doctors' offices, insurance payors, patients and clinical staff and facilitates assistance and support.
2.
Assists Intake Coordinator by checking patients' insurance eligibility and obtaining authorizations from the insurance payor.
3.
Enters intake referrals.
4.
Assigns clinical disciplines to cases.
5.
Gathers weekly schedule from clinical staff.
6.
Gathers and opens daily mail and distributes it to administrative staff for action.
7.
Corresponds with referrers and payors.
8.
Verifies the accuracy of data entered through the use of reports from the Electronic Medical Record system.
9.
Contacts clinicians to verify information.
10.
Alerts appropriate team members and management regarding late or missing documents required for data entry.
11.
Assists with patient document scanning and tracking.
12.
Orders medical supplies and tracks medical supply inventory.
13.
Processes travel and expense reimbursement requests for clinical staff of the department.
14.
Produces monthly departmental calendars for meetings, on-call RN, staff PTO, etc.
15.
Scans and uploads case files in digital form.
16.
Maintains personnel files according to policy.
17.
Performs pre-bill audit, resolves claim holds, and manages OASIS chart review distribution to clinical staff, all for third-party billing, coding and OASIS review service.
18.
Produces month-end revenue reports for accounting and transmits OASIS, HIS, NOEs and CAHPs reports to Medicare.
19.
Assists with filing and other clerical duties.
20.
Performs other duties as assigned.
Qualifications:
1.
Prefer college degree with at least one year of medical office experience; or high school graduate with at least two years of medical office experience.
2.
Knowledge of medical terminology is strongly preferred.
3.
Knowledge of home health care and hospice systems and procedures preferred.
4.
Excellent time management skills and ability to multi-task.
5.
Attention to detail and problem-solving skills.
6.
Demonstrate good communication skills and phone skills.
7.
Proficient in MS Office and the Internet.
8.
Bilingual in English and Chinese preferred.
9.
Must pass a background check.
