Job Summary
The Administrative Assistant position is responsible for assisting the divisional office and assist manager(s) with the day to day functions of their division administrative duties.

Duties & Essential Job Functions
Maintaining and updating Salesforce account workorders and cases
Completion calls to homeowners and clients
Closing out completion work orders
Printing completions, pulling, and organizing completions folders for invoicing
Scheduling client meetings
Assist with recruiting new employees or onboarding assistance
Create, review and
Facilitate weekly operations meeting and participate in weekly operation debriefs with Corporate management
Review and print employee daily work orders, time sheets, and material purchases
Follow up on late or missing paperwork
Follow up on weekly collections
Answer incoming homeowner, client, and employee calls, texts, and emails
Follow up on any homeowner or client questions and/or concerns within 3-business hours via email or phone

This position has no supervisory role.
Work Environment
This job operates in a clerical office setting.
This role routinely uses standard office equipment such as computers, phones, Xerox printers, filing cabinets, and fax.
Physical Demands
This is a largely sedentary role.
However, the employee is required to sit, stand, kneel, crouch or crawl.
The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 30 pounds.

Position Type & Expected Hours
This is a full-time position, and hours of work and days are Monday through Friday, 8:00 a.m. to 4:30 p.m.
Required Qualifications
High school diploma or GED
Prior administrative experience in a construction setting is a plus
Must be reliable and punctual
Accurate typing skills
Must be able to adapt to changing conditions and work in a slow or fast paced environment
Meet strict daily and weekly deadlines
Be able to work independently and follow direction
