Position Summary:
As an Administrative Assistant, you'll handle a variety of tasks that keep our office running smoothly and support our team in meaningful ways.
From scheduling meetings and assisting with recruitment to organizing training sessions, you'll be involved in many aspects of daily office operations.
Duties and Responsibilities:
* Support executive team members by coordinating schedules, managing communications, and organizing meetings.
* Assist in hiring by posting job openings, conducting prescreen interviews, and coordinating interviews with candidates and hiring managers.
* Help onboard new employees by preparing necessary paperwork, arranging equipment, and setting up essential software.
* Organize and track training sessions, coordinate materials, and assist employees with registration or other training needs.
* Provide HR support to employees, including help with timekeeping, payroll inquiries, and other HR-related topics.
* Draft, edit, and prepare a variety of documents for executive team members, such as letters, memos, and reports.
* Handle office administration tasks, including ordering supplies, maintaining records, and managing basic bookkeeping.
* Organize and distribute incoming mail, emails, and other communications to the appropriate team members.
* Arrange travel and accommodation as needed for executives.
* Maintain both digital and physical employee records in an organized manner.
* Perform other related tasks as assigned.
Qualifications:
* Associate's degree preferred.
* At least two years of related experience required.
* Outstanding knowledge of MS Office; HRIS systems (ADP, HR Cloud, Lever) will be a plus.
* Must be diplomatic and able to maintain confidentiality.
* Excellent interpersonal and customer service skills.
* Excellent communication and people skills.
* Must be adept in problem-solving with high attention to detail, providing consistent and accurate work.
* Ability to work directly with remote staff members.
* Desire to work as a team with a results driven approach.
* Physical Requirements: Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
