DPP is seeking an Administrative Assistant to join our office staff in Columbia, SC.

Position description:
The purpose of the Administrative Assistant role is to provide general administrative support for the Production Team.
The Administrative Assistant's primary role involves reducing the administrative burden on the production team in order to focus on delivering value at a higher level.
Responsibilities and duties:
Provide support answering the telephones and front door.
Assist the Business Development, Account Manager, and Production Team with any documentation in the ATS (Applicant Tracking System).
Gather any promotional materials for delivery at Client appointments.
Formatting resumes for candidate submissions as requested by Production Team member and returning for submission.
Once a Client interview is requested and scheduled, create interview prep documents and print resume on resume paper and provide to Account Manager as needed.
Assist Production Team and Account Managers with candidate status notifications.
Ensure Job Order information is current and distributed to all Production Team Members/Account Managers in a timely manner.
Attach documents into ATS system
Relocation Support (as needed) - As directed by the Account Manager or Recruiter, collect relocation information (Relocation Questionnaire) and either provide relocation assistance or coordinate with third party relocation assistance provider for all out of market candidates.
Manage office and promotional supply ordering including performing inventory, obtaining order and ensuring proper storage and cleanliness.
New Hire Bags - When candidate has a start date, gather items for a new hire bag and provide to Account Manager or prepare for mailing.
Coordinate and manage special events, including open houses, on-site training, vacation parties and employee birthday cards.
Print all necessary documents, gather promotional items and set up and staff the event.
Occasional office errands

Minimum knowledge, skills and experience:
Ability to clearly communicate expectations and requirements both verbally and in writing in the English language.
Excellent use of English language and grammar.
Ability to proofread documents and interpret meaning with little supervision.
Strong attention to detail.
Strong organizational skills.
Ability to effectively and efficiently manage multiple priorities at once.
Ability to effectively manage relationships with multiple clients/vendors.
Ability to document multiple systems in a timely manner.
Able to maintain confidential information from candidates and Clients as it relates to Employee Confidentiality Agreement.
High School Diploma or GED required; Bachelor's degree preferred.
Proficient with Microsoft Office products Word, Excel, PowerPoint, Outlook.
Excellent typing skills.
Able to lift 40 lbs.

Reports to Director of Operations.
Travel within a 25-mile radius (10%).
