Job Description:
The Administrative Assistant, People reports to the local CPD Leader and performs HR and administrative tasks that support the People team and the general business, along with serving as the front desk receptionist - ensuring a hospitable experience for visitors, phone calls, and team members.
This role plays an integral part in supporting our BW people-centric culture and delivering an excellent customer experience.
Job Duties and Responsibilities - HR: Provide administrative support to the CPD team, including managing company communications, advertisements, and employee recognition programs.
Welcome clients, vendors, candidates, and other visitors with professionalism, creating a friendly atmosphere for team members.
Operate the main switchboard, directing incoming calls to the appropriate personnel.
Coordinate meeting logistics, including scheduling, preparing conference rooms, and managing visitor arrangements; handle catering and meal orders as needed.
Act as co-chair of the Wellness Committee and contribute to other committees and event planning as required.
Assist with updates and communication related to the emergency action plan.
Manage content creation and updates for the company intranet and develop PowerPoint presentations.
Assist with travel arrangements and maintain the Outlook travel calendar.
Handle incoming and outgoing courier services (FedEx/UPS), fax, and U.S. mail.
Ensure the lobby, office areas, and conference rooms are kept neat and organized.
Collaborate with the Procurement team to monitor and order office supplies.
Perform other duties as assigned.
Required Skills and Competencies: Excellent written and verbal communication skills.
Proficient in Microsoft Office Suite with advanced working knowledge.
Professional, reliable, and a strong team player with the ability to multi-task and provide exceptional customer service.
Bilingual in Spanish (preferred).
Required Education and Experience: High school diploma or equivalent required; a bachelor's or associate degree in business administration or a related field is preferred, but not required.
1-2 years of administrative or receptionist experience preferred.
