Job Responsibilities
Under general supervision of the Director of Facilities, serves in the administrative support role for physical plant department and the Department of Public Safety.
Provides a variety of administrative and technical support duties to the Division of Fiscal Affairs of Denmark Technical College.
A period of formal departmental orientation will be provided to properly training the individual for the responsibilities of the position then limited supervision will be provided.
Serves as the Administrative Assistant to the Director of Facilities.
Must have the ability to work independently, demonstrates sound judgement, and maintain confidentiality
Performs complex and highly confidential administrative related functions to ensure that Physical Plant runs smoothly and efficiently.
Handles a variety of clerical functions such as making travel arrangements, distributing incoming mail, process outgoing mail, ordering supplies etc.Manages incoming package deliveries received at the Physical Plant building and ensures packages are routed to the appropriate department.
Oversees distribution of fuel cards and vehicle reservations from campus motor pool.Assists students, faculty, and staff with parking decals.
Maintains and orders office supplies for the Department of Public Safety.Prepares correspondence and proofreads for grammatical accuracy; transcribe minutes for various meetings conducted by Director of Facilities.Assists with coordinating special projects, meetings, and events; works independently and within a team on nonrecurring and ongoing projects which may include disseminating information and organizing of events. Minimum and Additional Requirements
High School Diploma and work experience that is directly related to the area of employment.
Bachelor's degree may be substituted for the related work experience.
Preferred Qualifications Knowledge of modern office practices, including the use of office equipment and Microsoft Applications.
Ability to carry out complex oral and written instructions.
Ability to type 55 corrected words per minute and the use of dictation.
Ability to work independently and to solve special situations of a non-occurring nature.
Must be able to exercise judgement and discretion in applying and interpreting departmental policies and procedures.
Must have the ability to establish and maintain good interpersonal relationships and possess a positive attitude.
Ability to work in a confidential and fast-paced environment. Additional Comments
Fast pace working environment; may require add1honal work during peak period with Facilities and the Department of Public Safety.
