Description
Comunilifeis looking for an experienced Administrative Assistant for our Respite Program in Harlem.
The Administrative Assistant is responsible for the office administrative functions program including maintaining and filing all leases and lease renewals, work orders for tenants and facilities, updating the program directory, answering telephones, and typing memorandums.
The Administrative Assistant adheres to the office protocols including rent collection, procurement, and petty cash policies; orders program and office supplies, prepares and maintains related program Office reports/records.This position is eligible for Comunilife's generous benefit and paid time off package and has a rate of pay up to $16.92 per hour, based on 40hrs a week.
Essential Duties
+ Screen all incoming calls and respond to routine inquiries.s
+ Prepare minutes of meetings, notices, special reports, correspondence, and packaging of resource material as required, for various program activities.
+ Adhere to all policies including rent collection, procurement, and petty cash custodian.
+ Establish and maintain organized filing systems that record all contracts, proposals program files, correspondence, documents, and reports.
+ Assist in material preparation and logistics for program meetings.
+ Update and maintain various on-site program files and mailing lists.
Maintain client
+ entitlements, leases, and other fiscal functions.
+ Review, sort, distribute and respond to daily incoming mail for the Program Director and all
+ staff.
+ Prepare transmittal office supplies and purchases from the hardware stores and other vendors.
+ Follows Comunilife procurement and petty cash procedures.
+ Maintain and track facility and unit work order, and rent collection activities.
+ Prepare the purchase orders for program and office supplies, as needed and client needs as
+ directed by the Program Director.
+ Operate a computer to enter, retrieve, review, or modify data; utilizing word processing,
+ database, and software programs.
+ Enters and updates rent collection entries in a web-based platform and generates reports to ensure 100% accuracy.
Qualifications
Education and Experience Requirement(s)
An Associates Degree in Accounting, Business, Finance, or a related degree from a two-year college or technical school and one year of purchasing and procurement experience and/or training; or equivalent combination of education / experience.
Prefer Bilingual (Spanish).
