We are seeking a detail-oriented and organized Administrative Assistant for a temporary assignment.
The ideal candidate will provide essential support to our team, ensuring smooth office operations and excellent customer service.
Key Responsibilities: Reception & Communication: Answer and direct incoming phone calls, greet visitors, and maintain a professional and welcoming environment.Document Management: Organize and maintain file systems, ensuring easy access and retrieval of information.
Distribute documents to internal and external parties as needed.Mail Handling: Process incoming and outgoing mail, including sorting, distributing, and preparing packages for shipment.Data Entry & Documentation: Accurately enter data into computer systems.
Prepare, proofread, and complete various forms, reports, correspondence, lists, and logs.Purchasing Support: Process purchase orders and requisitions, ensuring timely and accurate fulfillment of requests.Customer Service: Provide exceptional customer service in person, via phone, or through email.
Assist with inquiries and provide information regarding department/division services. Requirements Qualifications: Strong Communication & Interpersonal Skills: Ability to communicate effectively with various individuals, both internally and externally.Organizational & Time Management Skills: Proven ability to prioritize tasks, meet deadlines, and manage multiple responsibilities efficiently.Attention to Detail: Excellent accuracy and meticulousness in data entry and document preparation.Proficient in Microsoft Office Suite: Familiarity with Word, Excel, and Outlook.Customer Service Oriented: Dedicated to providing a positive and helpful experience for all clients and colleagues.Prior Administrative Experience: Previous experience in an administrative role is preferred but not required.
