The Office of the COO is looking to add a dedicated Administrative Assistant to support the team. This Administrative Assistant will directly support three mutual fund board groups (Morgan Stanley, Calvert, and Eaton Vance) and the role will involve collaborating with the team's other administrative assistants and as needed. Responsibilities include standard administrative functions such as scheduling/maintaining calendars, expense management, arranging occasional travel and other miscellaneous administrative requirements for the team, as well as project management and data coordination.
Key Responsibilities
This person will act as hybrid administrative assistant and operations support to our three board groups and their leaders across the Morgan Stanley, Calvert and Eaton Vance funds complexes.
Work on projects with large amounts of data coordination; organize, package and control a lot of the data for the mutual fund complexes
Central repository for data collection and quality control
Direct assistance to the board chairs for Morgan Stanley Fund Board, Calvert and Eaton Vance fund complexes.
Schedule and maintain calendars. This involves coordinating times, communicating, and corresponding with internal/external participants, scheduling rooms, addressing technology needs, and overseeing catering arrangements as needed.
Also involves using judgment with internal and external clients, navigating firm effectively, responding to requests, and having ability to re-prioritize calls/meetings as needed.
Supports all of the Trustees individual transportation needs for each Board meeting including hotel reservations and black car services as requested.
Coordinate the scheduling all Board meetings in the 1585 Conference Center and facilitating Fund Board meetings in Washington DC and Boston in combination with Legal teams supporting each Board
Managed the budget and approvals for Board Meeting catering costs including ENC Proposal for sign off and payment.
·3-5 years relevant administrative support experience, preferably in the investment management industry.
·Strong written and oral communication skills as the position requires interaction with senior management, independent Trustees, outside counsel and independent trustee counsel
·Proficiency in Microsoft Word, Excel, and PowerPoint. Familiarity with Corporate Services Travel Online (CSTO), Concur a plus
·Bachelor's degree, with emphasis in Finance, Economics, or other related fields preferable
·Time management skills and ability to work independently

·Experience at a financial institution and familiarity with financial markets is preferred but not required. An interest and willingness to learn is more important

Expected base pay rates for the role will be between $90,000 and $95,000 year at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs.
