PRIMARY PURPOSE: Ensure efficient operation of campus administrative office and provide clerical services for school's administrative staff.
QUALIFICATIONS: Education/Certification: High School Diploma or GED
B.S. Degree preferred
Special Knowledge/Skills: Proficient word processing, keyboarding, 10-kay and file maintenance skills
Effective organizational, communication, and interpersonal skills
Ability to use personal computer and software to develop spreadsheets, databases, and do word processing
Knowledge of basic accounting principles
Ability to meet established deadlines
Fluent in Spanish language - both speaking and written
Experience: One to three years secretarial experience, preferable in public education environment
MAJOR RESPONSIBILITIES AND DUTIES: Records, Reports, and Correspondence: Prepare written correspondence, forms, schedules, or reports using personal computer. Prepare instructional materials, meeting agendas, honor rolls, graduation lists, and campus communication as requested, using typewriter or personal computer. Maintain a daily teacher attendance log and records for substitute teachers. Monitor and process personnel time records including leave requests and reports. Compile information and submit to central office according to established deadlines. Maintain school calendar of events. Collect and enter attendance (if applicable) and PEIMS data into established database and verify accuracy of according to established procedures. Prepare and print reports, including attendance reports, grades, class or personnel rosters, end-of semester reports, or accounting reports. Maintain physical and computerized records, including student cumulative folders, progress and failure reports, class rosters, grade books, and schedule of changes if applicable. Process new student records, including requesting transcripts and records from other schools, setting up cumulative folder, and entering student data into appropriate databases. Assist parents, students, and faculty with questions regarding student attendance. Process and transmits requests for student information and transcripts. Call parents to verify student absences as needed. Report all attendance problems to designated administrator. Reception and Phones: Schedule meetings and appointments and maintain calendar for principal. Assist students, teachers, and parents as needed. Receive incoming calls, take reliable messages, and route to appropriate staff. Files: Maintain physical and computerized files including mailing lists, student records, visitor logs, and office communication. Update handbooks, policy manuals, and other documents as assigned. Accounting and Inventory: Perform routine bookkeeping tasks including simple arithmetic operations to maintain campus budget records. Prepare and process purchase orders as directed. Receive, store, and issue supplies and equipment. Prepare and make cash deposits for activity account(s). May be responsible for maintenance of activity checkbook(s) and ledger(s). Assist with coordination of faculty meetings and campus activities. Assist with campus budget preparation. Maintain inventory of fixed assets, equipment, and supplies. Other: Sort, distribute, or deliver mail and other documents. Administer medication to students, check temperatures, and notify parents of student illness in nurse's absence. Maintain confidentiality. Other duties and jobs as assigned by the campus principal. SUPERVISORY RESPONSIBILITIES: Monitor the work of campus asst. secretaries and clerical aides.

Pay: $120.00 - $130.00 per day
