The centers provide campus-based direct services and supports at 13 centers located throughout the state.

The Administrative Assistant (AA) is responsible for organizing and supervising all of the administrative functions that facilitate the timeliness and accuracy of activities and deadlines and provides support to Community Relations/Volunteer Services staff as needed.
The AA must have the necessary leadership skills to work effectively with management, staff, individuals, donors and Volunteer Services Council Board Members.
Essential Job Functions:
Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.
Maintains a harmonious working relationship with DSSLC staff, individuals, donors, Volunteer Services Council Board Members.
Abides by the DSSLC policies.
Answers phones, ensuring the correct person gets the call.
Takes messages when needed.
Keeps front lobby picked up.
Receives and processes donations; tangible and monetary.
Maintains eTapestry database, keeping records of all donation amounts, donor names, address, etc.
Prepares reports.
Prepares and tracks receipts and thank you cards.
Maintains mailing lists for Christmas Cards, and facilitates the bulk mail process; as well as prepares the resident gift list.
Facilitates volunteers on monthly workdays, keeping and providing supplies for the volunteers as needed.
Coordinates and orders weekly resident birthday cakes.
Coordinates and orders memorial flowers as needed.
Prepares bank deposits
Pays bills on a timely basis for the Volunteer Services Council.
Greets guests with dignity and respect, offering assistance as needed.
Able to lift and carry 50 pounds if necessary, and able to get up and down many times a day.
Maintains organized files.
Able to drive a cargo van for donation pick-ups in the DFW area.
Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation.
Such participation may require an alternate shift pattern assignment and/or location.
Knowledge Skills Abilities:
Ability to self-start, work independently, and exercise reasonable judgment.
Excellent communication skills, including writing, speaking, editing and proofreading with great attention to detail.

Proficient in Microsoft Office Suite: Outlook, Word, Excel (Knowledge in eTapestry a plus.)
Experience with or knowledge of the bulk mail processes.
Strong calendaring, organizational and document management skills.
Registration or Licensure Requirements:
Valid Texas Driver's License.
Must possess valid Texas driver's license or obtain it no later than 90 days after hire date.
Applicants with an out-of-state driver's license must provide an original certified driving record from the state of driving licensure.
Eligible driving record required based on HHSC Fleet Management policy.
Initial Selection Criteria:
Minimum of 2 years of experience as an Administrative Assistant.
Experience in Microsoft Office Suite: Outlook, Word, Excel.
Valid Texas Driver's license.

Flexibility in work hours may be required for this position.
The position may be required to work overtime and/or extended hours.
Must be willing to work weekends and holidays.
