Job Description
The primary responsibility of the Administrative Coordinator. is to serve Air Force ROTC Detachment 875 by providing excellent customer service, ensuring that the office environment is welcoming and inclusive, and dealing with confidential and sensitive matters with the utmost discretion and tact. This position reports to the Department Head of AFROTC Det 875 and provides high level administrative support to the military staff. The Administrative Coordinator assumes responsibility for managing office communications, including emergency and maintenance matters as well as office functions and gatherings. This position has extensive interaction with senior divisional leadership, senior university administration, donors, students, and families, and will need to exercise independent judgment, and represent the office and the division in a professional and courteous manner.
Required Qualifications
• Previous experience as an administrative or executive assistant, including:
o Scheduling meetings/events and maintaining multiple electronic calendars
o Answering phone calls and taking detailed messages, use of Zoom and other teleconference/video conference software
o Familiarization with Microsoft Outlook, Teams, Word, Excel, Adobe Acrobat, and Google Drive
o Drafting and responding to written correspondence
o Data entry and use of online portals and record-keeping and/or inventory software
o General accounting principles, reading/preparing invoices and cost estimates
Preferred Qualifications
• Experience in a customer service or executive assistant role with administrative duties.
• Proficiency with Microsoft Outlook, Teams, Word, Excel, Adobe Acrobat, and Google Drive.
• Proficiency with editing written correspondence, tracking budget/expenditures, and paying invoices.
• Previous experience and with Banner Alumni/Development and HokieMart.
