Description POSITION SUMMARY: This position provides high-level administrative support for the company's Chief Operating Officer (COO) to ensure they can efficiently accomplish key tasks and initiatives.
This position is also responsible for providing clerical support for the departments that the COO directly oversees.

ESSENTIAL JOB FUNCTIONS: Answers telephone calls, provides general information, fields/answers questions, routes calls to the appropriate staff member, and takes messages when appropriate.
Provides regular and ongoing support to the COO.
Acts as a liason between the COO and their direct report department directors.
Compiles data from client satisfaction survey and prepares report quarterly.
Organizes and completes the annual partnership survey.
Composes memos, correspodence, and documents as directed.
Manages the process and procedures for departmental volunteer clearance and eligibility, including background screening.
Receives and appropriately responds to or routes incoming Zgraph inquiries.
Orders office supplies and prepares purchase requisitions.
Books and manages travel arrangements for COO.
Responsible for recording budget meeting minutes.
Responsible for daily mail run/bank deposits.
Opens, sorts, and distributes incoming faxes, emails, mail, and any other forms of correspondence.
Acts as a backup to the Executive Administrative Coordinator in their absence or when additional assistance is needed.
Supports and promotes the mission, vision, and values of the agency at all times.
Uses and follows the policies/procedures of You Thrive Florida Inc., including but not limited to Personnel Policies, Occupational Health and Safety policies, payroll policies/practices, etc.
NON-ESSENTIAL/SECONDARY FUNCTIONS:
Performs any additional duties as directed or assigned by supervisor/COO, or other Executive level staff.

Qualifications JOB STANDARDS:
Education: High school diploma is required with preference given to candidates with two or more years of college with a major in Business or related field.
Experience: Minimum of five years' experience of administrative/office management related work.
Comparable level of education and experience will be considered on a case by case basis.
Licenses & Certifications: Valid Florida driver's license and be insurable by Company's current insurance carrier.
Subject to federal, state and local legal requirements/background checks.

Physical Requirements:These physical demands are representative of the physical requirements necessary for an employee to successfully perform the essential functions of the position.
Talking, standing, sitting, use of fingers, arms, hands, legs, walking, stretching/reaching, handling, grasping, bending at the waist, turning, balancing, use of depth perception, carrying and lifting (up to 30 lbs.
), and driving are constant.
Pushing, pulling, squatting, kneeling, medium lifting and/or carrying (up to 65lbs) are occasional.
Good eyesight (correctable) and hearing (correctable) are essential.
Equipment: Computer, facsimile, copy machine, calculator, multi-line phone and other small office and
instructional equipment and vehicle.
Skills & Expertise: Must be proficient in Microsoft Office programs.

ENVIRONMENTAL JOB FACTORS:
Job Location: Position is located at the Administration office in Brooksville, FL.
Occasional travel may be required to other site locations as deemed necessary by the COO or other Executive level staff.
Work Environment: While performing the responsibilities of the position, these work environment characteristics are representative of the environment the employee will encounter.
Office environment and working alone and with others frequently.
Working with office equipment is frequent.
Occasionally outdoors and operates a vehicle.
