Administrative Coordinator Make-A-Wish Maine Scarborough, ME Make-A-Wish Maine is seeking an Administrative Coordinator, to be based in their Scarborough, ME office. The Administrative Coordinator serves as an important customer service contact for staff, donors, volunteers and the general public. The Administrative Coordinator is responsible for all general administrative functions, bookkeeping, data management and reporting.
\n Requirements of the Administrative Coordinator: Associate degree and relevant work experienceBookkeeping experience, preferably in a non-profit environment Resilient and adaptable to changing and challenging situations Strong organizational skills and demonstrated ease in handling multiple projects at once Effective communication skills, both oral and written Computer literacy in Microsoft Office package Strong preference to experience with NetSuite and Salesforce and/or other CRM softwareDatabase management and reporting experienceCurrent and valid Driver's License Benefits of the Job: Hourly pay in the range of $22.00 to $24.00Hybrid schedule (3 days in office, 2 remote)Generous PTO including 11 paid holidays and 2 floating Retirement plan with 3% matchEmployer paid healthcare Responsibilities of the Administrative Coordinator: Serve as organization's first impression for all phone/general email/mail inquiries. Process chapter's accounts receivable and payableShare payroll and staff PTO submissions with chapter's payroll company Serve as chapter's main point of contact with Make-A-Wish America Shared Financial Services (SFS)Oversee gift processing including data entry, acknowledgments, honor memorials, and consistent reconciliation with Finance (SFS)Data entry and coding of chapter's corporate purchasing cardsNegotiate and administer contracts for office equipment, supplies and inventory Use Salesforce CRM database to pull reports and mailing lists, build queries, and extract data related to fundraising, development and mission delivery Serve as Chapter Data Steward – liaison with Make-A-Wish America for on-going data integrationMaintain documentation of policies and procedures for key processes/technologiesProvide administrative support to CEO and Development Team and assume other duties as assigned
