Administrative & Customer Support SpecialistOur client is a multi-licensed import/export business that manages animal transportation in a bonded warehouse facility near LAX. They are seeking a part-time Administrative Assistant to support their day-to-day operations. You will work closely with their operations team to ensure smooth processes for the import/export of animals. The role involves inputting data into proprietary government databases, providing excellent customer service, and supporting light administrative tasks.
Key Responsibilities: Data Entry: Input travel and reservation details into proprietary government databases. This includes verifying names, flight information, passport numbers, and vaccination statuses.Customer Service: Answer incoming phone calls using a provided script. You will often interact with anxious customers concerned about the status of their pets during customs processing or the reservation process.Administrative Support: Assist with note-taking, letter writing, and simple desktop publishing tasks using Excel and Word (Mac-based system).Data Verification: Cross-check records for accuracy by comparing source documents (hard copies or emails) with entered data.Support Operations Team: Work directly with managers at the LAX office to support general office duties, including managing schedules and ensuring all required documents are in order.Requirements: Proficient with Mac computers and comfortable working with Microsoft Excel and Word.Strong attention to detail and organizational skills to ensure accuracy when handling sensitive information.Light background check clearance is required for accessing government databases.Ability to follow scripts and provide excellent customer service in stressful situations.Basic desktop publishing skills are a plus (rarely needed but helpful).No advanced training required; you will be trained on all necessary databases and procedures.Preferred Skills: Experience in administrative or customer service roles.Familiarity with handling proprietary or government databases is an advantage.Strong communication skills and ability to work independently.The target hiring compensation range for this role is $30 to $33 hourly. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
