The Operations & Maintenance Division of the Land Use & Transportation Department is recruiting for an Administrative Specialist II.
The Position
This Administrative Specialist II position works for the Operations and Maintenance Division of Land Use and Transportation.
Job duties are focused on customer service and include but are not limited to:
* answering phones
* deciphering customer needs
* various administrative functions such as proofing correspondence, opening mail, ordering supplies and more
* entering service requests in the IRIS database
* entering right-of-way permit applications into Accela permitting software
* collecting fees
* scheduling/tracking Adopt-A-Road and Adopt-A-Landscape groups
* taking meeting minutes
* processing travel authorizations and training requests
* supporting the road crews and technicians during emergency weather conditions.

* Has strong communication skills, both orally and in writing;
* Establishes and maintains cooperative working relationships with a variety of individuals and groups, works collaboratively in a team-centered environment, and work effectively under general direction;
* Exercises keen time management skills, balance multiple priorities, and consistently meet timelines and due dates;
* Effectively deals with challenging customers;
* Can effectively multi-task.

Education and Experience:
* A high school diploma or equivalent; and three (3) years of progressively responsible experience providing administrative or clerical support.
* Possession of Microsoft Office Specialist (MOS) or other applicable certifications may substitute for up to one (1) year of the experience requirement.

Selection Process
* MQ Review: HR will screen applications for minimum qualifications after the posting closes.
* SME Review: Applications for candidates that meet minimum qualifications will be forwarded to a panel of subject matter experts (SME) who will review and score your application materials.
This process may take up to 2 weeks.
* Panel Interview(s): Our goal is to schedule panel interviews with candidates that meet the minimum qualifications and pass the SME review as soon as possible.
