Job No: 537421; 3/22/2024ADMINISTRATIVE SUPPORT COORDINATOR IIAdministrative Support Coordinator IICurriculum and Instruction Salary Range:$3,865 - $6,336/Monthly (Budgeted Hiring Salary Range $3,865 - $4,269/Monthly)Work Schedule:Full-Time, Monday – Thursday, 9:00 a.m. to 6:00 p.m., Friday 8:00 a.m. to 5:00 p.m.; non-exempt classification.Essential Functions:Under the general direction of the Division Chair, the incumbent is responsible for managing the administrative operations and functions of the division office. The incumbent must have general knowledge of all division functions, including those assigned to other support staff members. The coordinator works closely with the Division Chair on faculty personnel matters and is responsible for maintaining effective methods to track evaluation processes for full-time and part-time faculty; on instructional programming, including building and maintaining course schedules on the campus network system, monitoring class enrollments, completing the Academic Database report, coordinating and tracking the submissions and progress of circular forms and proposals, provide support for tenure-track recruitment searches, and provides oversight of admissions applications and tracking of program plans and coordination of comprehensive examinations. Duties also include procurement of supplies, equipment, and services, including guest lecturers, special consultants, and independent contractors; tracking, monitoring, and reconciling of budget and expenditures; tracking and submitting paperwork for pre-approval of faculty additional employment and assigned time; tracking and recording faculty and staff absences and student work hours; generating paperwork required for the recruitment and appointment of part-time faculty and graduate assistants. The incumbent maintains records of teaching history and entitlements; handles division elections and committee membership lists; prepares agenda minutes and other documents for division meetings; coordinates and assists with division special events and projects; and works closely with the Office of Student Services regarding related credential processes. The incumbent ensures adherence to policies, procedures, and established practices by the division, the college, campus, CSU system, and collective bargaining agreements; serves as resource person for the division employees in matters related to personnel, fiscal, curricular, and facilities; and serves on the evacuation team. Required Qualifications & Experience:Equivalent to four years of general office experience, which includes operational or procedural administrative support work performed and/or ongoing work coordination and/or lead responsibilities with notable accountability for the work results of support staff or unit administrative function. The incumbent must have the experience to be fully functional in all technical aspects of work assignments and thorough knowledge of office productivity software, including word processing, desktop publishing, and spreadsheet and database functions. Familiarity with the university network system. The incumbent should have working knowledge of budget policies and procedures, track financial data, and make simple projections. The incumbent must have excellent verbal and written communication skills and thorough English grammar, punctuation, and spelling knowledge; and thorough analytical skills. The incumbent must have the ability to work effectively individually, as a member of a highly functional team, and with a broad range of people to help promote a student-centered environment; detail-oriented and can handle multiple work unit priorities and projects; apply various policies and independent procedures where specific guidelines may not exist; judgment, discretion, and initiative to address problems and respond to all inquiries and requests related to the work areas, as well as the ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions; respond effectively to rapidly changing conditions; effectively handle a broad range of interpersonal contacts, including those at higher levels and those sensitive in nature; and to collaborate with students, faculty, staff, and administrators to resolve problems and generate future solutions. The incumbent must have a demonstrated interest and/or ability to work in a multicultural/multiethnic environment.
