Position Summary: The Assistant Provost and University Registrar is ultimately responsible for the integrity of the registry for all campuses and all programs at all levels, working in collaboration with the School of Osteopathic Medicine Registrar and the Law School Registrar. The Assistant Provost and University Registrar works closely with the Vice President for Academic Affairs and Provost to provide leadership and coordination of academic projects and initiatives while providing oversight of the student registration process, and all student records, including grades, rosters, transcripts, graduation clearance, athletic eligibility, and enrollment reporting. The position serves as an internal consultant participating in the development, interpretation, and implementation of academic policies.
Essential Duties and Responsibilities: Effectively manage the Registrar's Office, supervising seven staff members and ensuring the smooth operations of all aspects of the office. Coordinate processes with the Registrar's offices at the Campbell University School of Osteopathic Medicine and the Campbell University School of Law in Raleigh. Oversee student registration, grade collection, issuance of transcripts, recording of transfer credits, certification of enrollment and degree completion, eligibility certification for student-athletes, and degree audit process for graduation. Coordinate, plan, facilitate, and execute fall/spring/summer registrations, orientation registrations, and registration for other groups as directed by the Vice President for Academic Affairs and Provost. Assist with preparations for and execution of commencement exercises. Ensure that students understand and meet registration and graduation requirements, including addressing any challenges students may encounter. Review student records per academic policy and recommend actions on probation and dismissal for academic reasons. Interpret the University Bulletin regarding credit and transfer policies and the acceptance of courses from other agencies as equivalents to Campbell courses. Work closely and collaboratively with other administrators, departments, and faculty governing bodies and committees to educate, provide advice, interpret, and ensure compliance with existing Campbell University academic policies and procedures. Prepare and publish the academic calendar and semester examination schedules for undergraduate programs. Establish and implement short and long-range department goals, objectives, policies, and operating procedures; monitor and evaluate the effectiveness of student services and implement changes required for improvement. Oversee the implementation and effective use of systems for student information, degree audit, and enrollment management to ensure the data systems support and inform the institution's academic mission. Evaluate existing technology and tools and make recommendations as appropriate. Lead the implementation of new applications and enhancements to support advanced services, special features, and improve administrative processes. Cultivate internal and external relationships to better understand, support, and inform academic initiatives and to develop and adapt policies and processes that support and advance student academic experiences and learning outcomes. Provide leadership and advice on issues related to academic policy, curriculum, and compliance with Federal laws and regulations, including FERPA. Represent the University to various institutional divisions as well as externally to government agencies, organizations, students and their families, and the general public. Recommend and participate in the development and implementation of university policies and procedures. Serve on University planning and policy-making committees. Develop and analyze reports and interpret data to shape discussions and decisions involving course enrollment, institutional planning, student retention and persistence, academic programming, and curricular policies/procedures. Collaborate with departments on course and room scheduling. Collaborate with the Office of Institutional Effectiveness to provide statistical and narrative reports to aid in developing academic policy, and responding to federal, state, and related internal and external student enrollment requests. Encourage and provide professional development for the staff in the Registrar's office to ensure the office provides exceptional service to all constituents. Administer departmental budget of approximately $600,000 and plan for annual budgeting allocations for the operation of the Registrar's Office with a focus on optimizing the use of university resources. Maintain a professional appearance and demeanor at all times. Uphold and abide by Campbell University policies and procedures, including, but not limited to; Title IX, and FERPA guidelines. Other duties, responsibilities and activities may change or be assigned at any time, with or without notice. Education/Experience: Master's degree required. Doctoral degree desired.
At least 7 years of experience in a Registrar's office; at least 3 in a managerial role, such as an Assistant or Associate Registrar.
Demonstrated understanding of the application of technology in delivering services and information in an efficient and secure manner and willingness to learn new systems.
Experience working in a college or university with NCAA Division I athletics.

Proficiency with Microsoft Word, Outlook, Excel, PowerPoint and standard methods of digital communication. Demonstrate tact, a positive attitude, courtesy and discretion in dealing with trustees, faculty, staff, students, high-level university officials and the public. Ability to exercise independent judgment in complex, new, and/or stressful situations. Ability to manage multiple, concurrent projects, prioritize, adhere to and meet set deadlines. Flexibility, adaptability and a willingness to work in a changing environment.
