Overview:
The Assistant to the Chief Executive Officer (CEO) and Chief of Staff will serve as a trusted partner to the CEO, providing a wide range of high-level professional and personal administrative and project support.
The Assistant will oversee and streamline internal processes and operations, ensuring efficient management of the CEOs schedule.
He/She will manage the Office of the CEO by driving key organization-wide projects and facilitating the implementation of strategic initiatives.
The Assistant will play a pivotal role in optimizing the productivity and effectiveness of the CEO, contributing directly to the success of our organizations mission and goals.


The Assistant will act as the primary liaison between the CEO, Board of Directors, Executive Team, franchisees, and external entities, anticipating and proactively addressing the needs of the CEO.
The role involves complex calendar and agenda management, domestic and international travel planning, project management, meeting preparation and high-level correspondence with internal and external stakeholders.
The Assistant will professionally represent the company, exercising confidentiality, discretion, and sound judgment in a variety of areas.


This is an in-office position, based in our Hampton, NH office, requiring the Assistant to mirror the schedule of the CEO.

Responsibilities:
Calendar and Agenda Management: Manage and maintain CEOs complex and fluid calendar and agenda for both internal and external meetings and calls, activities, special events, and travel, exercising discretion, anticipating obstacles, and quickly responding to business needs and competing demands.
Travel Management: Manage CEOs travel itineraries (Domestic and international) and coordinate all aspects of travel for the CEO including air travel, ground transportation, lodging, meals, meeting reservations, booking of activities as well as the completion of necessary travel documentation.
Travel management requires responsiveness to heavy and changing demands.
Meeting Planning: Assist with preparations for internal and external meetings ensuring the CEO is well informed and prepared for meetings and engagements.
This includes gathering agendas, capturing notes, preparing and distributing materials, CEO briefings, conference room preparations, catering, and more.

Project Management: Oversee a variety of strategic projects, setting timelines, monitoring progress and providing updates and recommendations to the CEO.
Coordinate with department heads to gather information, coordinate resources and resolve issues.
Prepare project status reports and presentations for the CEO and Board of Directors.

Cross-functional leadership: Serve as the point of contact and gatekeeper between the CEO, Executive Leadership Team, internal staff and other stakeholders.
Partner with key departments to effectively leverage and prioritize the CEOs initiatives.

Event Speaking Coordination and Support: Compose step-by-step itineraries, correspondence, presentations, memos and various reports for CEO as well as content for Board Meetings, conferences and speaking events.
This includes proofreading, extreme attention to detail, and ensuring professionalism of all materials and presentations.
Serve as the primary support to the CEO at events, ensuring schedules remain on time and anticipating any changes that need to be made.

Email Inbox Management/Correspondence Screening: Promptly read, respond and manage all correspondence (Including email correspondence, phone calls, voicemails, mail etc.).
Trace and manage timely responses to emails, doing so with a high level of written, verbal and digital communication skills, demonstrating technological fluency.

Information Management: Process highly confidential and critical information on a routine basis with complete discretion.
Gather, create and/or analyze documentation for use in presentations, materials and other related projects, ensuring necessary coordination with the Executive Team, stakeholders and staff.

Travel and Expense Management: Track, manage and audit budget expenditures.
Generate and process expense reports for the CEO, ensuring accurate and timely submission of expenses.

Personal Assistance: Manage the CEOs personal calendar, scheduling appointments, events, personal travel and other commitments upon request.

Special Projects: Additional duties and responsibilities which may arise at the request of the Executive.
May attend meetings and travel with the CEO as requested.

Qualifications:
8+ years of experience supporting C-Level Executives with substantial experience in complex calendar and travel management.

Proven track record of success in a Chief of Staff role or similar capacity within a public company or large organization
Bachelors Degree preferred
Demonstrated ability to manage and drive projects to successful completion
Experience working directly with the Board of Directors, including board meeting coordination, preparation of meeting materials and facilitating communication between the CEO and the Board
Skilled at using a systematic approach to trace and follow up on open items and priorities
Ability to recognize and appropriately handle highly sensitive and confidential material and information, with a high level of professionalism and poise
Superior communication skills along with the ability to communicate effectively across all levels of the organization
Technologically savvy with advanced computer proficiency with Microsoft Suite.
High focus on complex calendar and travel management
Exceptional organizational and multi-tasking skills with an ability to balance multiple priorities with competing demands, keeping the Executive on track and on schedule
Extremely detail-oriented with an exceptional ability to establish priorities and objectives
Exhibit an on-call mentality with extreme flexibility to ensure meetings, dinners, travel etc.
