POSITION TITLE: Associate Registrar, Curriculum and Academic Scheduling
DEPARTMENT: Office of the Registrar
REPORTS TO: University Registrar
POSITION SUMMARY: The Associate Registrar, Curriculum and Academic Scheduling, is responsible for coordinating the annual curriculum management cycle, including the configuration, administration, updating, and publication of the annual Bulletin and the supporting systems. Coordinates the update and maintenance of the academic schedule of classes and configures systems in accordance with university regulations and policies. Manages related activities that support student registration, academic progress, and the allocation of instructional space. Provides technology training and technical assistance.
The Associate University Registrar serves in a key, cross-functional role that interacts with a broad range of campus partners to support students, faculty, and staff.
DUTIES AND RESPONSIBILITIES: Serves as the functional module lead and primary point of contact on all curriculum management systems, evaluating and testing updates/enhancements and providing direction on the implementation of new features.Maintains course and pre-requisite tables in the student information system (SIS). Processes new, modifications, and deactivation of courses in the Curriculum application. Creates and configures program workflow forms to support internal College curriculum approval processes. Configures and maintains accurate user profiles and permissions, monitors curriculum workflow, and establishes timelines for curriculum and course updates.Acts as lead editor for the annual Bulletin process, reviewing, revising, formatting, and preparing documents for publication. Solicits all stakeholders for annual updates and ensures timely publication to support registration for current and prospective students.Academic SchedulingEstablishes course scheduling timelines and provides training and support to academic department users of scheduling tool. Responsible for the accurate and timely data entry/integrity of course and academic event information into SIS, catalog, curriculum management, degree audit, and scheduling tools, as well as the transfer evaluation system (TES) to ensure a seamless registration and graduation process for students.In consultation with deans, associate deans, and department chairs, provides scheduling queries and makes recommendations for optimal distribution and timely updates to course offerings. Identifies potential registration and access issues based on course offering availability.Schedules and runs associated meetings to identify potential deficiencies in course offerings and provides recommendations to resolve discrepancies and/or conflicts to the University Registrar, Deans, and Provost.Provides proactive registration management and guidance to Deans, department chairs, and the University Registrar on course access.Compiles and evaluates annual scheduling and classroom usage for the University Registrar and provides recommendations for policy and processes to resolve classroom discrepancies, conflicts, and double booking.Manages the maintenance of transfer college catalogs in the SIS and TES systems. Updates and tracks the Transfer Guides found on the web.Participates in the development, validation, and user acceptance testing (UAT) of applications used for advising, registration, bulletin production, curriculum management workflow, academic schedule development, and instructional space assignments.Updates the general pool classroom scheduling policies and procedures and provides data-based guidance on policies and procedures.Coordinates the creation of the final examination schedules for all terms and is responsible for timely assignment and publication of all exam venues.Coordinates interviews, hiring, and delegation of work and student workers' schedules.Use report writer/data retrieval tools, such as SQL or Infomaker, to produce both recurring and ad hoc reports and data files.Works with the University Registrar leadership team to develop department objectives and goals, set priorities, and short-and-long range.Other duties as required and/or assigned by supervisor.REQUIRED QUALIFICATIONS: 3-5 years of progressive experience working in a registrar and/or student systems environment.Experience inputting curriculum and evaluating degree requirements, identifying issues, defining alternatives, and developing recommendations.Experience independently researching materials to compile, develop, and summarize material for professional reports.Experience interpreting and applying rules, regulations, and laws regarding student records, including knowledge and appreciation of FERPA and data privacy principles.Experience in process analysis and improvement.Experience working with a diverse student population.Demonstrated proficiency in enterprise information systems (Jenzabar EX/J1) and third-party applications, including curriculum management, facility scheduling, transfer education, and report writing in higher education.Ability to solve problems and manage competing projects and deadlines.Ability to succinctly and diplomatically communicate sensitive information in a timely manner, to a variety of constituents.Demonstrated success in a fast-paced environment that demands a strong technical aptitude and willingness to adapt to rapidly changing priorities.Superior written and oral communication skills, demonstrating collaboration, respect, and accountability.Ability to represent the University in community/professional situations at conferences and workshops.Advanced skills with Microsoft Office suite (Word, Excel, Teams, and PowerPoint), networking, and reporting tools.PREFERRED QUALIFICATIONS: Experience with enterprise resource systems in a higher education environment.Experience with academic advising.Knowledge of University policies and procedures, including development and implementation.Ability to work proactively within and among departments and university leadership regarding changes to business processes or practices.Physical Demands: Ability to spend long durations of the workday sitting at a desk and working on a computer.Must be able to lift up to 15 pounds at times.Salary and FLSA Status Salary: $58,000 – 62,000 annually.FLSA Status: Exempt, 37.5 hours.Comprehensive health, dental, and vision insurance.Retirement plan with employer matching contributions.Tuition remission for employees and their dependents.Flexible spending accounts (FSA).Generous paid time off (PTO).Employment at Dominican University is contingent upon the successful completion of a background investigation.
