Behavioral Health Office Coordinator

Job Summary: The Office Coordinator will oversee the day-to-day general administrative and operational functions and activities of the office.
Provide a supporting role to the Director of Behavioral Health with reported dotted line to Manager of Clinical Operations.

Duties/Responsibilities: Oversees workflow of Behavioral Health scheduling of patients, intake and patient placement procedure, and front desk procedure Reviews and coordinates Behavioral Health Patient Service Representative's monthly and daily schedules in collaboration with the medical office coordinator Manages referrals, inquiry, and billing inboxes in Microsoft and ECW for Behavioral Health Performs or facilitates maintenance of office equipment including cleaning, maintenance, and repairs.
Provides clerical support when needed to assist clerical staff with assigned administrative duties such as answering phones, sorting, and distributing mail, and preparing documents.
Oversees the copays process and is the liaison to the finance team for the behavioral health team.
Maintains inventory of behavioral health office supplies; submits orders of new supplies as needed.
Maintains office files; implements an efficient system for other staff to access files and records.
Point of contact to Facilities department for any building-related needs.
Provides coverage at the front desk as needed.
Develops an EHR superuser knowledge to manage providers schedules and reports.
Performs other related duties as assigned.
Required Skills/Abilities: Excellent verbal and written communication skills.
Excellent interpersonal and customer service skills.
Excellent organizational skills and attention to detail.
Excellent time management skills with a proven ability to meet deadlines.
EclinicalWorks experience is preferred but not required.
Proficient with Microsoft Office Suite or related software.
Education and Experience: High school diploma or equivalent required; Associate degree in office administration or related field preferred.
A minimum of three years of administrative and clerical experience required.
