Apply for Job Job ID 52153 Location Kansas City Full/Part Time Full-Time Add to Favorite Jobs Email this Job Hiring Department Missouri Institute for Defense & Energy (MIDE) Job Description The Missouri Institute for Defense & Energy (MIDE) is seeking a Business Support Specialist II to execute administrative duties for MIDE personnel and collaborators.
The ideal candidate will possess a broad understanding of the job duties to include finance and accounting processes, be detail-oriented, flexible, self-motivated, and have critical thinking, problem solving and interpersonal skills.
The candidate will be expected to execute on moderately complex tasks with minimal oversight in a fast-paced environment.
Excellent oral and written communication abilities are imperative.
This position is not hybrid, the candidate selected will work in a shared office space, in-person, Monday-Friday.
There is some flexibility on the time/daily hours.
Job duties will include, but are not limited to: Arranging travel and accommodations, and submitting travel reimbursements; Shipping/Receiving of mail and packages, setting up physical mailboxes for MIDE employees; Assist the Executive Director and COO of MIDE as needed; Assist MIDE Fabrication Shop with admin duties; Tracking purchases, obtaining quotes for items, and working with vendors/customers/collaborators for shipping as required; Creating and maintaining digital files related to tracking employees and managing ListServs, tracking software purchases, laptop sign-out; Update MIDE handbook and assist with MIDE website content Assist with team building activities, which includes membership on the social committee; Gathering, organizing, and summarizing information on a range of topics, as requested; Organizing in-person, telephone, or web-based meetings and general scheduling; Order catering for meetings as needed to include setup and cleanup; Assist with onboarding new employees or exit process for employees leaving; Assist with MIDE event planning and bi-annual conferences; Establishing and maintaining organizational/filing/record-keeping systems and content related to training, meeting security, and program deliverables; and, Other office support tasks as needed.
Minimum Qualifications An Associate's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.
Accounting and/or business office experience.
Preferred Qualifications Bachelor of Arts/Sciences or equivalent; At least 5 years of experience in clerical, administrative, project management, accounting or similar positions from which comparable knowledge and skills can be drawn; Competency with the Microsoft Office and Adobe suite of software including but not limited to: (a) use of editing functions in Word; (b) basic formula and linking functions and plotting in Excel; (c) creation of slides using PowerPoint; (d) pdf creation using Adobe products and protection (e.g., encryption) from any of the previous tools; and, (e) email/scheduling via Outlook; Experience with the PeopleSoft platform or comparable enterprise financial management software; Privacy, security, export control or related training/certifications; Ability to handle personally identifiable information (PII), export control sensitive information (ITAR/EAR), controlled unclassified information (CUI), and/or classified information.
Anticipated Hiring Range Up to $20.00 per hour, commensurate with experience, education, and internal equity.
