Center Administrative Assistant

The Center Administrative Assistant is a proactive role responsible for efficiently operating the administrative functions of the center office at our organization.
This position provides general support for the center staff, the Center Manager, as well as regional support staff.
The role will be responsible for providing effective and respectful communication with parents and community partners, to meet their needs and answer their questions.

Essential Job Functions: Partner with Purchasing and IT to submit request tickets as needed for office supplies for regular and/or special needs.Manage online grocery shopping orders for center(s) as applicable.Respond professionally to incoming calls/requests from other centers, staff, current and prospective parents, regional office, school, and community partners.Take direction from the Center Manager for processing invoices, billing, vouchering and monthly reporting, and organization in the office.Maintain printers and regular maintenance.Maintain a welcoming and professional office appearance.Maintain filing system; create, maintain, and distribute various lists and reports to the regional and/or corporate office and staff in the centers.Prepare enrollment information as needed at the center or regional level; maintain center children's files consistent with licensing and state requirements.Assist with editing/proofreading materials, including supporting center staff with drafting newsletters, translation, printing, etc., for staff, families, and/or community partners.Provide effective, respectful communication with parents and visitors to understand their needs and answer their questions.Prepare outgoing mail (UPS & USPS) and is responsible for incoming and outgoing mail receipt and distribution through multiple channels.In partnership with departments like Facilities and Purchasing, coordinate logistics with outside vendors for office supplies, office equipment, shipping, printing needs, furniture assembly, and installation.Provide general support for the office staff, Center Manager, and regional support staff.Provide excellent customer service to both internal and external clients.Ensure accuracy and on-time completion of assigned projects and reports.Ensure materials are distributed to the corporate office timely as required.Assist with the logistics of coordinating and scheduling meetings as applicable.Support the Enrollment team in scheduling meetings and enrollment appointments with families.Support various short-term and long-term projects as needed.Additional duties as assigned. Education & Experience: Education

The MINIMUM formal relevant education required by the position.

High school diploma or GEDAssociate's degree preferred Experience

The MINIMUM relevant experience necessary to qualify for the position.

Three years' experience in an Administrative Assistant or administrative or general clerical role Other Qualifications: Experience with various office administrative and management practices and procedures, such as filing, expense reporting, coordinating meeting and scheduling logistics,Excellent computer skills with MS Office (Word, Excel, SharePoint, PowerPoint, )Strong, professional communication (verbal and written) and interpersonal skills; must demonstrate ability to work in a positive manner and as a member of a teamExcellent customer service, time management, and organizational skillsMaturity, professionalism, and common senseAbility to work independently, while keeping Center Manager updated on status of projects and challenges encounteredAbility to handle large projects and see them through to completionA "big picture" thinker; ability to plan ahead and foresee needsProficiency in Spanish preferred Shift Type: Full Time, Onsite

Schedule: Monday - Friday, 8am - 5pm

Compensation: $18.76 - $28.13 hourly
