The Client Services Manager will manage and process real estate sales and leasing transactions from the inception of the client's search for property or the listing of the client's property, through the execution of the transaction and into the post-transaction client services delivery to retain the client and earn referrals.
The Client Services Manager will ensure that clients have a seamless experience and receive excellent service where all their needs are anticipated and serviced.
This service is to be done the right way the first time with minimal rework, as we work by referral.
The scope of this position includes transaction coordination, helping clients search for property, and providing necessary research and information to assist clients in decision-making.
This position is key for our small company, requiring professional care, respectful communication, attention to detail, and thorough execution of all work products.
ResponsibilitiesCoordinate transactions from inception through closing as an executive assistant to the lead agent, primarily for residential real estate purchases, sales, and leasing.Follow transactions and their files from start to finish, ensuring all checklist items are completed during and after the transaction.Revise/adjust agreements, contracts, and instructions to ensure smooth transactions without disruptions.Coordinate work between clients, realtors, title companies, loan officers, and other involved entities.Initiate and revise listing agreements, buyer representation agreements, and purchase contracts under the direction of the assigned realtor.Prepare documents for signatures using electronic signature apps like DocuSign.Perform research based on client property showings and compile reports from MLS.Assist in scheduling showings, mapping tours, and coordinating showing activities.File all email correspondence and documents related to the transaction in the online client-server folders.Manage and operate a client relationship management system (CRM called Referral Maker).Upload property photos and documents to MLS.Work with the Marketing Coordinator on client gifts and event planning.Produce yearly CDs and closing emails for clients at tax return filing time.Generate monthly anniversary CMAs for clients who have purchased homes through us.Be a team player and ensure timely communication of transaction information for marketing purposes.QualificationsKey Skills Needed Approximately 1 year of residential real estate transactions or administrative experience.Detail-oriented with high attention to detail.Service-oriented attitude towards relationships.Creative, results-oriented, self-starter, and outgoing.Strong verbal/written communication and visual skills.Excellent telephone skills and etiquette.Strong computer skills; tech-savvy with some IT skills preferred.Ability to adapt to instant client-driven changes confidently.Strong typing, spelling, and document production skills, especially in Adobe Acrobat.Proficient in Microsoft Office 365, Canva, Adobe Acrobat, and web-based applications.Ability to work independently and with a team in a dynamic environment.Quick learner with strong retention of information and skills.CompensationFull-time position in our Frisco office; remote work is not supported.Competitive salary commensurate with qualifications and performance.Paid time off for vacation, personal reasons, or illness.Health insurance and Simple IRA retirement savings plan offered.Discretionary bonuses for performance above expectations.Opportunities for earning additional incentive compensation.Growth and development opportunities.Instructions for ApplyingPlease be prepared with a portfolio of your work for the interview.Compensation: $48,000 - $55,000 yearly
