PURPOSE The Communication Assistant IV assigned to Fleet Dispatch coordinates fleet availability for scheduled assignments and processes calls reporting absences, repair requests, fuel requests, accidents, or other information for Dispatch management.
ESSENTIAL FUNCTIONS Customer Calls, Dispatch, and Tracking Communicate via radio, phone, or email in support of the Dispatch office's daily operations. Perform daily scheduling of fleet equipment, operators and support personnel. Record information pertaining to all work assignments with a high degree of accuracy while observing management scheduling guidelines. Receive and follow-through with inquiries from drivers, operators and field employees regarding their assignments. Update records and document daily dispatch operations and various fleet related programs. Dispatch assignments and record information regarding the activities of the Field Service Technicians, utility crews and fueling trucks. Receive calls from various DPW locations and provide information pertaining to fleet support or services. Confirm next day assignments with drivers/operators and other employees working in the Fleet/Sanitation sections. Communicate assignments to private sector entities that perform work on behalf of the City. Maintain and update vehicle locations in Fleet Focus. Dispatch and document the activities of the Division's Roll-Off Operation. Prepare the Roll-Off box location/assignments daily and distribute to employees and managers. Report fleet accidents to driver instructors and contact the Police Department's non-emergency line for necessary accidents. Participate as a member of the Dispatch office staff during extended hours, holidays and or weekend operations. Administrative Support Activate new fuel cards and or create new replacement cards upon operators' request. Record and maintain information pertaining to fuel and other fleet supplies. Prepare confidential documents related to employee disciplinary issues and maintain a distribution list. Prepare and process Commercial Driver's License (CDL) testing applications, collect fees and maintain testing schedule. Assist with and process Operations Driver Workers', City Laborers' and temporary appointments' New Hire Orientation and I-9 paperwork. Receive and process resident complaints; forward complaints to management for further action. Process requests and post "Unavailable Tickets" for call-in vacation requests, emergency vacation and various employee leaves. Update and record status pertaining to the condition of various fleet related programs. Maintain information pertaining to service agreements, rental equipment, and vendors. Prepare and document records related to the investigation of DPW-wide accidents. Maintain employee availability information for drivers and operators from supporting departments for snow sheets. CONDITIONS OF EMPLOYMENT Must be able and willing to work a schedule involving varied start times as necessary; must be able and willing to work long hours when required by scheduled or emergency operations Communication Assistants are required to be available 24 hours per day/365 days per year in the event of an emergency operation including DPW snow and ice control operations. MINIMUM REQUIREMENTS Three years of experience at a dispatch center or high-volume customer call center. Equivalent combinations of education and experience may also be considered.
DESIRABLE QUALIFICATIONS Familiarity with City of Milwaukee streets and service area districts. KNOWLEDGE, SKILLS, ABILITIES & OTHER CHARACTERISTICS Technical Ability to evaluate and satisfy customer requests for assistance. Ability to communicate clearly and understandably by radio and by telephone. Ability to read and interpret job-related documents such as instructions, policies and procedures, and reports. Ability to perform accurate data entry. Ability to efficiently utilize office equipment, including telephones, copiers and fax machines. Knowledge of the English language, including proper sentence structure, grammar, and punctuation. Proficiency using Microsoft Office to produce documents and reports. Customer Service, Interpersonal, and Teamwork Customer service skills to answer routine questions and work politely with internal and external customers. Ability to build and maintain effective working relationships. Ability to work cooperatively in a team-oriented environment with people whose backgrounds may differ from one's own. Ability to understand and carry out verbal and written instructions. Organizational and Professionalism Ability to be diplomatic, discrete and tactful. Ability to maintain confidentiality. Ability to manage multiple priorities and handle stressful periods in a calm, professional manner. Ability to exercise good judgment. Ability to accomplish assignments with little or no supervision. Organizational skills to be able to maintain accurate records. Ability to use facts and good judgment in responding to calls. Time management skills to complete assignments in a timely manner. CURRENT SALARY The current starting salary (Pay Range 6LN) is $51,726 annually and the current incentive starting salary for City of Milwaukee residents is $53,278 annually. Appointment will be made in accordance with the provisions of the salary ordinance.
