DESCRIPTION The City of Aventura is accepting applications for an open full-time Community Recreation Center Assistant Manager - Special Events .


This management-level position is responsible for the planning, supervision, operation, and programming of the Community Recreation Center and neighborhood park operations.
This involves managing employees, contractors, community center, neighborhood park operations, programs for all ages, and City special events.
Additionally, the role includes seeking and securing sponsorships for events to enhance community engagement and support for our recreational initiatives.


DUTIES & RESPONSIBILITIES
Provides oversight and direction for the daily operations of the Community Recreation Center and neighborhood parks, ensuring compliance with policies, procedures, regulations, and standards of quality and safety.


Creates an annual calendar and obtains approval for all planned events and programs, venue selections including approved spending limits with timelines and budgets.


Oversees all logistics related to assigned events and programs, including event layout and floor plan, transportation, permits, licenses, and supervision of vendors, contractors, and other departments as it relates to specific events, programs, and activities.


Prepares all records, including use agreements (contracts); and vendor forms; composes correspondence, including all information for residents and vendors.


Initiates, reviews, and finalizes contracts for event services.


Coordinates and arranges appropriate facilities, labor, equipment and material in the set up and break down of event logistics.


Obtains financial sponsorship for special events by soliciting vendor and corporate underwriting and in-kind donations.


Manages and maintains event budget, prepares and provides reports.


Assisting with information and guidance to design and create all marketing materials, press releases, event communications, and invitations within a timeline.


Promotes and markets each assigned event to ensure distribution reaches the entire community and beyond, on an individual basis and/or in collaboration with other City departments.


Trains and supervises employees including volunteers, contractual employees, and department personnel, as well as other designated employees.
Ensures roles and responsibilities are clearly communicated and understood, as well as the accountability for meeting goals and objectives.


Identifies and recommends cost control measures under the area of responsibility.


Manages facility maintenance and activities.


Reports, collects, posts, and deposits revenue from registration fees while maintaining detailed records of revenues and expenditures.


Advises the Community Program Manager regarding ongoing operations and various specialty functions at the Community Recreation Center.


Creates and maintains working relationships with other departments, citizens, and agencies.


Acts as The Community Program Manager in the CPM's absence which includes oversight over all City parks and center operations.


Inspects and maintains playground equipment, and makes appropriate recommendations.


Pursue a variety of vendor pricing for Capital Improvement Projects.


Plans, develops, and coordinates leisure/educational programs for participants ranging from infants to seniors.


Responsible for overseeing and managing rentals at the Community Recreation Center.


Develop and maintain relationships with corporate sponsors, local businesses, and community organizations to secure funding and resources for events, while creating sponsorship packages that align with departmental goals.
Additionally, track agreements to ensure all commitments are fulfilled and documented.


Foster strong relationships with community members, organizations, and stakeholders while representing the department at meetings and events to enhance participation and support for recreation programs.


Maintain positive customer relationships, ensure the Community Recreation Center facility standards are met, manage event logistics, and coordinate all aspects of rented events.


Other related work as required.

QUALIFICATIONS & REQUIREMENTS
A.
Graduation from an accredited college or university with a Bachelor's Degree in Parks and Recreation, Leisure Services, Public Administration, or related field, and
B.
Two years of diversified, management experience and responsibility in the field of leisure services, special events or cultural activities, or
C.
Any equivalent combination of education and experience.

D.
Ability to obtain Certified Playground Safety Inspector certification within six (6) months of employment.

E.
Ability to obtain Certified Pool Operator certification within six (6) months of employment.


Necessary Knowledge, Skills, and Abilities:

Knowledge of parks and recreation services, special event planning, activities and programming, neighborhood parks, community centers, ground maintenance, and marketing.


Knowledge of time management with a focus on achieving immediate results.
Knowledge of local corporate and philanthropic community.
Solid project management and event planning logistics knowledge.
Strong budget knowledge and management skills.


Excellent communication and interpersonal skills, and the ability to lead, train and supervise others.


Ability to manage and prioritize multiple projects, events, and related resources.


Ability to foster a team environment and rally volunteers, peers, and City personnel to assist and commit to the success of related events.


Demonstrated ability to exercise good judgment when dealing with City personnel, contractors, vendors, and the general public.


Strong computer skills.
Ability to analyze and prepare data for reports.


Ability to work nights, weekends, and holidays depending on event needs.


Contribute to a positive environment that fosters creativity and out-of-the-box thinking.


Strong problem-solving skills and the ability to make sound judgment calls.


Ability to provide and manage the year-round park and center programming including camps.

SUPPLEMENTAL INFORMATION SUPERVISION RECEIVED
Works under the general supervision of the Community Program Manager.


The employee exercises considerable independent judgment and is subject to periodic administrative direction and review through meetings and written evaluations.


SUPERVISION EXERCISED

Exercises supervision over full-time, part-time, and contractual personnel, as assigned.
