Description

We are looking for a dedicated Compliance and Documentation Coordinator to manage key compliance tasks including training, audits, supplier interactions, and documentation management.
The role focuses on maintaining and improving compliance processes related to SQF, FSC, and SMETA standards, supporting both internal and external audits, and ensuring accurate and timely documentation.
The successful candidate will have a strong ability to multitask, prioritize, and maintain meticulous records.

SQF Training: Conduct and support SQF training for new personnel and annual training programs.
Enter and scan training records into the system.
Maintain and file SQF training documents for audit readiness Rejects & Claims Management: Send product rejects to relevant suppliers.
Prepare and send emails to suppliers requesting additional information regarding quality issues.
Prepare Bills of Lading (BOLs) for product returns.
FSC Tracking and Documentation: Track and prepare for FSC (Forest Stewardship Council) audits.
Review new items for FSC statements and ensure FSC numbers are included on schedules.
Conduct quarterly reviews and upload FSC certificates.
Audit Support (SQF & Press Audits): Assist in preparing for SQF and press audits, including area process audits and process improvements.
Participate in Pan press audits to ensure compliance with internal standards.
Training Program Development: Update and revise training programs as required.
Provide support in developing production training documents including procedures and PowerPoint presentations.
SQF Annual Reviews & Compliance Maintenance: Perform annual reviews for SQF including Safety Data Sheets (SDS) related to cleaning, production, and maintenance.
Review and maintain storage plans, audit documents, and annual testing schedules (e.g., water analysis, calibration accreditations).
Request and file backflow testing, lab accreditations, business licenses, and certificate uploads.
Production Document Management: Maintain a master document list for production books.
Review and update production documentation regularly, issuing new documents when necessary.
Customer Documentation & Claims Handling: Track and manage customer documents.
Ensuring Target requirements are met.
Log and follow up on consumer claims through calls and issue resolution.
SMETA Compliance: Track environmental compliance metrics and submit data entries for SMETA audits.
Record corrective actions and handle data entry for the Higgs survey.
Supplier & ETI Compliance: Manage and collect annual supplier documents for compliance with ETI (Ethical Trading Initiative) and related standards.
Skills, Knowledge and Expertise Required education and experience Strong attention to detail and excellent organizational skills.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite, particularly Excel and PowerPoint.
Ability to work independently and manage multiple tasks in a fast-paced environment.
Familiarity with audit preparation and handling supplier documentation.
Experience in handling customer claims and document tracking systems.
Preferred education and experience Experience with compliance standards such as SQF, FSC, and SMETA a plus.
Working environment and physical demands The physical environment requires the use of general office equipment (computer, printer, scanner).
Prolonged periods sitting at a desk and working on a computer.
Required to use personal protective equipment as needed.
