Florham Park, NJ A dynamic and rapidly growing firm with a national practice, seeks a New Business Intake and Conflicts Coordinator based in its Florham Park, NJ office.
Hours are 9:00 am-5:00 pm with a one-hour lunch break, Monday through Friday.
Overtime is required as business needs arise.
The New Business Intake and Conflicts Coordinator will perform conflict searches, obtain clearance of conflicts, update the conflict database, process new client and matter opening requests.
This position requires extensive interaction with attorneys and support staff pertinent to new matter setup and processes.

Essential Duties & Responsibilities Generates conflicts reports using the firms conflicts database and reviews, analyzes, and interprets those reports as part of the conflicts analysis and reporting process and pursuant to the rules of professional conduct.
Requests and records all necessary conflicts resolution documentation, including conflicts waivers or engagement letters.
Provide all aspects of support to the Firm, its attorneys, and offices about the New Business Intake (NBI) process.
Diligently review new client and new matter information submitted via the Firms intake process and confirm that all client/matter information is accurate.
Ensure the terms of engagement for each client are applied to all client engagements and, where applicable, ensure exceptions to the Firms standard terms of engagement have been approved and are tracked and recorded accordingly.
Generates new client matter numbers and assists in the maintenance of client and matter data.
Ensure timely communications are sent to all appropriate parties, i.e., supervisors, coworkers, attorneys, and clients.
Contributes to process, procedure, and technology improvements to provide optimum customer service and efficiency.
Escalate problems in a timely manner.
Scan and retain records of new case information and other supporting documentation.
Assist with other Billing Department support as needed.
Knowledge, Skills, Abilities, and Education Law firm experience in a business intake or conflict capacity is desirable.
Experience with 3E, Elite Enterprise accounting system preferred.
Motivated, flexible to work extra hours as needed.
Strong attention to detail and high level of accuracy.
Outstanding written and oral communication skills to communicate with attorneys, staff and clients.
Strong organizational skills and ability to prioritize matters and work within time constraints.
$65,000.00-$70,000.00, plus overtime and bonus.
