What the Job is & What We're Looking for: Job Description: ETF Operations Analyst
We are currently seeking an experienced ETF Operations Analyst to join our dynamic team. This role will be responsible for overseeing the primary market ETF creation and redemption process, as well as maintaining positive relationships with sponsors and clients in the secondary market. The ideal candidate should have expertise in ETF creation and redemption order processing and settlement, with knowledge of both in-kind and cash settlements. In addition, the candidate should be able to handle ETF rebalancing, collateral processing, and P&L calculations. The role will require liaising with fund managers, internal stakeholders, and other service providers or counterparts to ensure successful service delivery with support from various internal partners.
Key Skills
- ETF creation and redemption order processing and settlement for the primary market
- ETF creation and redemption settlement arrangements, both in-kind and cash - Maintaining positive relationships with sponsors and clients in the secondary market
- Overseeing the settlement of secondary market trades when creating and redeeming on behalf of a client
- Handling the settlement of ETF rebalancing
- ETF collateral processing and P&L calculations
- Corporate actions as applicable
- PCF (portfolio composite composition) file review, including reviewing relevant component stocks and prices and reconciling those stocks against the net asset value
- Reconciliation to be performed daily, and exceptions researched and escalated accordingly for resolution
- Preparation of 15c3-3 reporting for customer protection rule for regulatory
- Ensure client service level agreement (SLA) and deadlines are met, as well as AP contractual agreements upheld
- Monitor and research errors to ensure adherence to audit and control policies, identify issues where trade settlement is non-straight-through processing and correct root cause
- Assist with providing informal guidance or on-the-job training to new members as required
- Assist with fund set up from inception to implementation, as well as following internal procedures regarding daily operating requirements
- Prepare periodic reporting if requested
- Appropriately assess risk when business decisions are made, demonstrating consideration for the firm's reputation and safeguarding Citigroup, its clients, and assets by driving compliance with applicable laws, rules, and regulations, adhering to policy, applying sound ethical judgment regarding personal behavior, conduct in business practices, and escalating managing and reporting control issues with transparency
Qualifications
- Bachelor's degree in Finance, Economics, or related field preferred
- 2+ years of experience in the ETF industry or related field
- Knowledge of domestic and international markets, with prior experience of EEA markets, emerging markets, Asia Pacific, and North America being ideal but not required
- Strong analytical and problem-solving skills with the ability to anticipate issues and suggest solutions
- Excellent communication, interpersonal, and relationship-building skills
- Comfortable working with multiple stakeholders and juggling competing priorities
- Experience in using different trading and risk management systems - Understanding of regulatory rules and requirements
- Proficiency in Microsoft Office applications, particularly Excel and PowerPoint
Nice to Have Skills:
- Experience with ETFs and/or mutual funds
- Knowledge of financial instruments and markets
- Familiarity with regulatory reporting requirements
- Experience with reconciliation tools and systems

Role Expectations:
30 days: During their first month, the ETF Operations Analyst is expected to familiarize themselves with the processes involved in ETF creation and redemption order processing and settlement for the primary market. They should be comfortable with overseeing settlement of secondary market trades for clients and have a good understanding of in-kind and cash settlement arrangements. The analyst should also have started building positive relationships with sponsors and clients while being able to resolve basic client queries and handle collateral processing and P&L calculations.
60 days: At the two-month mark, the ETF Operations Analyst should have deepened their knowledge of the ETF industry and taken on additional responsibilities. They should be able to handle ETF rebalancing settlements, conduct regular PCF file reviews, and reconcile net asset values daily, escalating any exceptions. They should have started working on regulatory reporting and ensure that the client service level agreements and deadlines are met. Additionally, they should be able to identify and correct issues leading to non-straight-through processing during trade settlement.
90 days: By the end of the third month, the ETF Operations Analyst should be able to work optimally, handling their day-to-day responsibilities with ease. At this point, they should have expanded their skill set to include processing corporate actions, providing informal guidance to
new team members, and preparing periodic reports as requested. They should also have established their communication skills with other service providers and internal stakeholders while monitoring and researching any errors that may arise.
1 year: After their first year, the ETF Operations Analyst should have a deep understanding of ETFs and their operations. The role requires a high level of accuracy and precision, which the analyst would have mastered. They should have proven track records in building and maintaining positive relationships with clients and fund managers while upholding deadlines and contractual agreements. The ETF Operations Analyst should now also have experience setting up funds from inception to implementation and have an excellent understanding of AP, EEA, and emerging markets. They should consistently demonstrate a strong work ethic, taking into account Citigroup's reputation and the importance of upholding regulatory and compliance standards.
