Universal Orlando Resort believes in-person collaboration is key to our success. Many of our Team Members work in a hybrid capacity, contributing from the workplace a minimum of three days per week. JOB SUMMARY:

Supports assigned Technical Entertainment team to provide planning, logistics, and execution support of team workload, coordinating with internal and external stakeholders to ensure successful completion. Supports team leadership by providing timely and correct information critical for decision making. Supports team leadership by creating and maintaining necessary technical documentation.
MAJOR RESPONSIBILITIES:

DOCUMENTATION SUPPORTCreates and maintains official Technical Entertainment documentation to include Standard Operating Procedures, work guides, and other such documents.
Uses technical knowledge of current department needs to create, compile, and update informational reports needed to facilitate management of Technical Entertainment projects and/or efforts. Such documentation may include overviews of technical elements and locations for events along with required resources for each element, maintenance data by component that indicates mean time between failures trended over time that can be trended to determine predictive maintenance cycles, training levels team member and venue to facilitate decisions on cross-training opportunities, downtime or out-of-show reports by element over time to inform actionable methods of improving show quality and guest satisfaction, or other such informational reports.

LOGISTICS SUPPORTCoordinates with internal and external partners, team members, guests, and outside vendors as necessary to support completion of Technical Entertainment projects. Such partners may include, but are not limited to, all Entertainment Technical disciplines, Entertainment Events, Entertainment Production, Entertainment Art & Design, Entertainment Operations, UO Events Management, UO Tech Services, UO Rev Ops, UO PR & Marketing, UO Facilities, UO Attractions Operations, EHS, and Universal Creative.
Oversees completion of work by vendors or internal partners (horticulture, sign shop, figure finish, tech services, security, UO works, rev ops, park ops, EHS) as required to meet deadlines and/or reduce out-of-show times. Quickly identifies and escalates any issues to management to ensure successful work completion.

SCHEDULE SUPPORTSupports scheduling team functions including, but not limited to, shift swaps, adding/removing shifts, adding job codes, communicating scheduling changes with Team Members, and creating/sending staffing updates.
Assures management team schedule is posted each week.
Informs management of resource limitations, time card anomalies,
Tracks hourly labor spends against budget, advising management of any trends with negative impacts.
Tracks overtime to stay within departmental guidance and to ensure fairness of overtime distribution.

PROCUREMENT SUPPORTSupports the procurement of goods and services necessary for the assigned Technical Entertainment team, carefully tracking and entering all items, to include Purchase Orders and Discretionary Work Orders, into required corporate financial tracking systems, such as SNAP. Generates spreadsheets or other documentation as required to keep track of purchases and, where possible, predict future purchases.

TRAINING AND COMPLIANCE SUPPORTMonitor department Safety and Compliance Training identifying team member training needs. Schedules, enrolls, and communicates with affected Technical Entertainment and/or operational venues for training attendance.

Understand and actively participate in Environmental, Health & Safety responsibilities by following established policy, procedures, training and team member involvement activities.

EDUCATION:

High school degree or GED required.
Associate degree (AA) is preferred.
Bachelor's degree from a four-year college or university in related field preferred.

EXPERIENCE:

3+ years of experience in entertainment, hospitality, and/or technical fields preferred; or equivalent combination of education and experience.

ADDITIONAL INFORMATION:

Proficiency with Microsoft Office 365 products required.
Entertainment industry experience is preferred.
Scheduling experience preferred.
Working knowledge of SNAP, Purchase Manager, Kronos, gig, Maximo, Higher Track, or the ability to learn and use such systems preferred.
Attention to detail and strong organizational skills
Ability to interact professionally with multiple internal and external stakeholders
Ability to perform work on multiple, diverse assignments simultaneously
Ability to set and keep a schedule for assignment completion
Ability to sort through large quantities data that is of low to medium levels of complexity and generate meaningful reports
