Job Summary:This position is responsible for providing administrative support to multiple attorneys and paralegals for corporate clients.
Primary duties include administrative and clerical tasks including but not limited to:Duties/Responsibilities:
Creating, editing and revising legal documents, correspondence and presentations.
Includes transcribing dictation, creating binders, formatting, proofreading, drafting, etc. Maintaining Physical and Electronic Files.
Includes preparing, copying, scanning, filing, and properly labeling physical documents into redwell files and electronic documents into the firm's internal Document Management System. Time Entries.
This includes entering, proofreading, and revising time entries by attorneys and/or paralegals into the firm's accounting system accurately and in a timely manner. Calendar/Appointments.
Maintaining attorney appointment schedule and calendar.
Includes coordinating and scheduling meetings, phone calls, business travel arrangements, attendance at seminars, events, etc.
• Preparing and organizing closing binders for various corporate transactions as needed.
Phone Calls.
Includes making and responding to internal and external calls, contacting clients, and scheduling conference calls.
• Managing client billing by preparing, finalizing, and sending out bills, as well as resolving billing issues in cooperation with the billing attorney.
Other Administrative Tasks.
Includes opening and preparing mail; internet research, compiling and gathering information as needed, etc.
• Performing other related duties as required or assigned, some of which may be essential to the position.
Required Skills/Abilities: Possess excellent verbal and written communication skills. Demonstrate excellent interpersonal and customer service skills. Strong organizational skills with the ability to handle multiple assignments simultaneously. Ability to prioritize and work effectively and efficiently. Proficient typist.
Proficient with Microsoft Office Suite or related software. Ability to work independently, exhibit professionalism and work in a team-oriented environment, including coverage and/or backup coverage for other attorneys.
Education and Experience: Minimum of 1-3 years legal assistant experience. Associate degree in legal studies or related field required.
Physical Requirements: Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at times.
