Our client, located in Lancaster, PA, provides exceptional care to the wonderful community of Lancaster, PA in esthetic, cosmetic, and implant dentistry as well as TMJ disorders and sleep apnea treatment. They are seeking a Practice Administrator to join their team. The Practice Administrator is responsible for overseeing administrative tasks, financial management, and staff coordination. The Practice Administrator also collaborates with dentists and other staff to optimize patient care delivery, enhance the overall patient experience, as well as optimize and enhance the overall employee experience
This position is part-time, with 2-3 flexible days per week.
Essential Responsibilities Include:
1. Lead and manage the office team, ensuring smooth operations and fostering a positive work environment. Provide guidance, support, and motivation to team members.
2. Facilitate, conduct, and oversee the training and development of staff, ensuring they have the skills and knowledge necessary to perform their roles effectively.
3. Manage patient relations, addressing concerns and ensuring a high level of customer service is always provided.
4. Answer multi-line telephone in a courteous and timely manner, during times of high demand to support the staff.
5. Oversee office budgets, billing, and financial reporting, ensuring financial goals are met.
6. Manage the inventory of office and dental supplies, ensuring the office is fully stocked and operational at all times.
7. Maintain telephone call list to notify patients of openings or changes in appointment times, and schedule accordingly.
8. Conduct periodic performance evaluations, nurturing staff growth and development.
9. Process payroll data from timecard report, accurately taking into consideration PTO, overtime, holiday hours, and other variables.
10. Serve as an office facilitator for all personnel by acting as liaison between employees and management.
11. Address patient concerns and conflicts with professionalism and empathy.
12. Obtain and demonstrate a good working knowledge of the office's dental practice management software program (Dentrix), and the important business activities related to its use, including, but not limited to scheduling, payment processing, and submission of insurance.
13. Reconcile open insurance claims and re-submit with proper documentation.
14. Obtain and demonstrate a good working knowledge of the office financial policy and show adherence to it in financial dealings with the patients.
15. Responsible for ensuring office certifications/licenses are up to date (X-ray licensing, 401k plans, etc.).
16. Perform other related duties as assigned, including but not limited to general administrative and operational procedures, assisting the dentists in scheduling and maintenance of their semi-dental or non-dental appointments as requested, monitor and maintain the business office machines throughout the office, and provide for the needed supplies for such.
17. Safeguard patient privacy and confidentiality (HIPAA).
Highly qualified candidates will possess most of the following: · High School diploma or equivalent required.
· 2+ years' experience in supervisory role at a dental or medical office.
· Excellent customer service skills, with all decisions made through a lens of providing best in class customer and patient experience.
· Experience with Microsoft Office (Excel, Word, Outlook, etc.).
· Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
· Experience with Dentrix or a similar practice management software, preferred.
· Proficient listening, verbal, and written communication skills to convey information concisely yet effectively.
· Exceptional organizational skills with the ability to prioritize and manage multiple projects simultaneously (multi-tasker). High attention to accuracy and detail.
