Substitute Secretary
The secretary supports the efficient operation of the school.
The secretary performs clerical duties, attends to visitors, answers phones, files, assists in data gathering for reports, etc.
RESPONSIBILITIES/DUTIES: Primary office staff hours from 7:30 am - 4:00 pm.
Responds to telephone and in-person inquiries from students, parents, staff and the public; screens calls and provides information concerning building activities, promotes positive public relations.
Sends notifications/schedule changes via e-news.
Compiles, formats, types and edits various reports, lists, correspondence, newsletters and other documents.
Ensures students are eligible for athletics, including grade checks, physical, green card and purchase of ASB card.
Maintains athletic schedules, transportation request team rosters, book and clock signup, ensures referees are scheduled, and contacts all parties for cancellations and reschedules.
Supports ASB activities.
Maintains student records; maintains cumulative files; responds to requests for records as appropriate.
Forwards records of 8th grade students to appropriate high school upon graduation.
Performs a variety of secretarial duties, such as receiving and sorting incoming mail, mailing report cards, typing a variety of handbook and other materials, assisting the PTA, running errands, operating intercom and various office equipment, performing special projects and troubleshooting building and office equipment and arranging for repairs.
Oversees the work of student assistants in the school office; monitors the behavior of students in the time-out room.
Back up for the Health Tech in the health room.
Performs other duties as assigned.

*Possess at least a high school diploma or GED
8School secretary and/or office experience is preferred
*Proficiency required in keyboarding and word processing as well as skill in operating a variety of office equipment
*Proficiency with Microsoft Office Suite including excel and publisher outlook calendar
Proficiency with Google Suite, including sheets, forms, slides, etc.
Strong and effective oral and written communication skills
Proficiency with Skyward Data System, desired, but not required
Health Tech experience preferred
Strong, positive interpersonal and public relation skills
High level of confidentiality, flexibility and tact
Ability to work independently and cooperatively
Willingness to learn and apply new procedures
Able to prioritize multiple duties
Excellent organizational skills
Ability to oversee staff and students in a warm and confident manner
Able to deal with frequent interruptions
Must be able to lift 60 pounds
