GravyWork is seeking a seasoned Financial Operations Manager to lead and oversee the financial and accounting functions of the company.
This role combines strategic leadership (30%) with hands-on tactical responsibilities (70%) to ensure accurate financial processes, compliance, and insightful reporting.
The Financial Operations Manager will collaborate closely with the CEO, internal teams, and external partners to maintain the financial health of the business and support ongoing growth and transformation initiatives.
Key Responsibilities: 1.
Financial Operations (Tactical - 70%) Oversee daily financial operations, ensuring accurate and timely payment to workers and invoicing to clients.Maintain regular client communication to ensure invoices are paid within GravyWork's payment terms, particularly with high-value recurring clients.Accurately record all transactions in QuickBooks, ensuring the books are closed within 15 days after month-end.Collaborate with the company's CPA/accounting firm to ensure proper and timely filing of taxes, and address any IRS-related inquiries or issues alongside the CEO and other stakeholders.Ensure that the workforce, including thousands of Gig workers and 1099 contractors, is properly categorized, and that taxes are withheld in accordance with IRS guidelines.Manage payroll for internal employees, while overseeing the outsourced work of third-party offshore vendors.Perform the comptroller role, ensuring compliance with all regulatory requirements, including license renewals and registered agent information updates for operating states (MD, DC, VA, FL).Oversee commission payments and expense reimbursements for the sales team.Ensure customer satisfaction through accurate invoicing and timely responses to invoice inquiries. 2.
Strategic Leadership (30%) Develop and manage the annual budget, allocating resources to key departments including Sales & Marketing, Operations, Financial & Accounting, HR, and Product Development.
Ensure each department's financial needs align with the overall business goals.Conduct financial forecasting based on the seasonal nature of the business.
Analyze trends to predict revenues, costs, and resource needs, and adjust budgets and strategies accordingly to ensure profitability and operational efficiency throughout the year.Work closely with department heads to provide insights and adjustments to budget allocations as needed, ensuring that financial plans support both short-term and long-term business objectives.Understand the seasonality impact on revenue and expenses, making recommendations for optimizing resources during peak and off-peak seasons.Monitor and report the company's financial performance to the CEO, enabling informed business decisions and strategic investments.Work cross-functionally with internal teams such as staffing operations, account management, sales, marketing, and product development to ensure alignment with financial goals.Track and report key performance metrics, including revenue by client, client ordering trends, and the number of new clients, alerting the sales and account management teams of opportunities to improve client satisfaction and retention. 3.
Compliance & Vendor Management Ensure the company remains in good standing in all operating states, tracking license expirations, and maintaining accurate regulatory records.Oversee the performance of offshore third-party vendors who handle outsourced tasks. Tax Compliance & IRS Relations Collaborate with GravyWork's CPA/accounting firm to ensure accurate and timely filing of all taxes.Address IRS-related inquiries, issues, or audits, working with the CEO and other relevant stakeholders to resolve matters promptly.Ensure compliance with IRS guidelines for classifying the company's workforce, including thousands of 1099 contractors, and manage tax withholding as required. Business Transformation & Special Projects Support special business transformation projects, such as converting 1099 or ITIN workers to W-2 status to comply with labor laws and IRS regulations.Collaborate with internal teams to manage these projects, ensuring a smooth transition in compliance with all relevant legal and financial guidelines. Required Skills & Qualifications: Bachelor's degree in Accounting or Finance (required); CPA certification is a plus.10+ years of experience in financial operations, accounting, or similar roles, preferably in service-oriented or tech-driven businesses.Proven experience in financial operations, accounting, and strategic planning.Proficiency in QuickBooks and strong understanding of accounting principles.Experience working with external CPA/accounting firms and handling tax-related matters.Strong organizational skills with attention to detail and accuracy.Ability to manage multiple priorities and meet tight deadlines.Excellent communication skills for interacting with clients, internal teams, and external stakeholders.Problem-solving mindset with the ability to streamline processes for operational efficiency. Preferred Qualifications: Experience managing financial operations for service-oriented or staffing businesses.Familiarity with payroll systems and third-party vendor management.Knowledge of regulatory compliance, including IRS and labor law regulations.
