Job Responsibilities
- On premises Employee and Guest Services lead for amenities oversight for Wealth Management HQ in Purchase, NY. Services include Lobby Reception, Conference Center, Executive Conference Center, Food Hall, Dining Hall, Executive Dining, Catering and Wellness Suite. Additional remote office management will be required for other locations and new openings.
- Strategically manage the delivery of service and operational readiness for amenity space to meet Morgan Stanley's global standards for best-in-class services.
- Provide oversight of event planner team including meeting with event hosts, creating event proposals, development of seasonal catering menus and overall execution of the event from start to finish.
- In partnership with Project Management, team and Workplace Evolution Teams manage amenity space design and drive projects team to build effective spaces. This includes being an integral part of the ongoing development projects in across NY Metro and Americas Regional Offices.
- Develop and implement high-utilization operating model that provides on-site management for efficient utilization of space, conflict resolution, full suite of services and maximum space efficiency.
- Create effective, commercial operating models that are managed through a continuous improvement lifecycle with a focus on budget and ROI for Employee and Guest Services in Purchase with a focus on driving an efficient Conference Center Operating Model.
- Create activation plans, operating models and budgets for new amenity space.
- Managing Morgan Stanley vendors in an effective manner ensuring compliance with Morgan Stanley vendor management program, rules, guidelines, minimizing risk, protecting the firm and its franchise, in line with the firm's commitment to Environmental standards. Track and monitor KPI's, SLA's and drive vendor performance for continuous improvement.
- Build relationships, collaborate and strategize with service providers and their business partners to create a 'best in class' and 'fit for purpose' environment for employees and clients
- Resourcing planning to ensure operations are resilient and balanced to support business as usual activities and strategic projects and priorities. Develop and maintain Business continuity plans, keeping compliant with firm requirements.
- Establish and maintain positive, professional relationships with clients through effective, accurate, timely and reliable communication and action
- Participate in weekly Conference Operations/Resume meetings with all vendor groups to discuss line-by-line details of upcoming events
- Develop informative content to include monthly reporting, newsletters, and intranet sites to promote operational readiness and key site initiatives
- As part of the Global team, actively participate in regional and global initiatives. Clear and proper communications are critical.
Maintain an active awareness and understanding of global workplace trends, innovations and opportunities
- Develop, implement, and update processes to mitigate all risk issues.
- Respond to and management of environment & safety issues as they pertain to the health, safety and wellbeing of MS employees.
Incident Response:
- Familiarity with and adherence to the firm's incident response process
- On-call availability for afterhours emergency and BCP business support
- Coordination and communication of incident response protocols developed in partnership with global security
- Manage and develop relationships with key business unit stakeholders
- Ensure each of the EGS functions operate at the highest levels of client satisfaction on a consistent basis and create an exceptional workplace experience for the people of Morgan Stanley.
- Drive and implement Corporate Social Responsibility initiatives. Implement and stay compliant with any firm and global CSR initiatives.
- Develop, coach, train, and guide your team to success.
Required Skills/Experience: (Knowledge and abilities to qualify for position)
- Ability to multitask and managing varying stakeholder priorities in a professional effective way.
- Formal qualification and degree in hotel management, hospitality sector, property and/or facilities management
- Minimum 5 years of relevant experience
- Experience should relate to corporate amenities service design, development and operational experience and where managing teams was a large part of your role
- Ability to and experience managing global and regional priorities
- Previous experience in Investment Banking/Financial Services environment would be advantageous
- Highly technical and knowledgeable of latest industry trends and service delivery platforms
- Experience working with internal clients and stakeholders at various levels of the organization with an ability to communicate clearly and develop relationships with business partners
- Expertise analyzing financial data and managing budgets
- Candidate to possess a high level of attention to detail, the drive and determination to deliver first class services in a fast paced, highly expectant environment
- Strong verbal and written communication skills English and local language.
- A strategic thinker and self-starter with an entrepreneurial spirit
- Proficient PC skills including outlook, excel, word, PowerPoint, etc.
Expected base pay rates for the role will be between 85,000 and 135,000 per year at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs.
