The Entry Level Event Specialist will assist in all aspects of event coordination, from planning to execution. The ideal candidate will be highly organized, detail-oriented, and eager to learn the nuances of event management. This role will involve working closely with senior event planners, vendors, and other departments to ensure successful and smooth events.
Key Responsibilities
Assist with planning and coordinating company and client events, including meetings, seminars, conferences, and special occasions.
Manage logistical tasks such as venue selection, vendor communication, and scheduling.
Support the setup and breakdown of event spaces, ensuring all materials are in place and operations run smoothly.
Assist in creating and managing event budgets, tracking expenses, and processing invoices.
Help develop and distribute event invitations, promotional materials, and attendee information.
Coordinate with vendors, suppliers, and internal teams to ensure timely delivery of services and event materials.
Provide on-site event support, including attendee registration, troubleshooting, and event flow management.
Compile post-event reports, gathering feedback from attendees and stakeholders to evaluate the event's success and areas for improvement.
Stay up to date with event trends and best practices to help improve the quality of future events.
Skills, Knowledge and Expertise
Bachelor's degree in event management, hospitality, marketing, or a related field (or pursuing a degree).
Strong organizational skills and attention to detail.
Excellent communication and interpersonal skills.
Ability to multitask and manage multiple events simultaneously.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Flexibility to work evenings or weekends as required by the event schedule.
Previous event coordination or planning experience is a plus but not required.
