The firm's US Events Team, within Marketing & Business Development, organizes a wide range of client-focused webinars and events including hybrid, live conferences, seminars, receptions, gala dinners and experiential events. These activities closely support the firm's business objectives and are seen as critical lead-generation sales tools.
These events are the face of Hogan Lovells and must be accurately targeted and outstandingly well organized. It is also critical that participating Partners are fully briefed to exploit the client development opportunities that they provide and that suitable follow-up activity is maintained.
To contribute to the overall success of the Hogan Lovells virtual and in-person events program by assisting with all event elements and supporting the US events team where necessary. To be an ambassador for the events team by demonstrating a best practice approach to Hogan Lovells processes and event management duties to internal stakeholders and the wider global events teams. JOB DESCRIPTION:
Develop your potential in the following areas of responsibility:  Support the events manager in the planning, organization, implementation and follow-up of events to develop and maximize client relationships. Provide partner support and advice on all live, digital and hybrid event formats. Become a super user of our CRM and webinar systems to provide dedicated support to the team. Manage the creation of guest invitations via i-publish to include joining instructions and managing the responses. Creation of mailing lists via InterAction, manual delegate responses, bounce backs and relevant reports. Perform venue searches, research event theming ideas, manage suppliers and deal with delegate inquiries. Organize regular event up-date meetings and speaker rehearsals. Be available on-site on the day of the event to assist in the registration, welcoming of guests and management of the event. Ensuring the firm's website and intranet site are maintained with up-to-date information on forthcoming events and post-event stats. Working closely with other departments within the firm to ensure the smooth delivery of events, including the audio-visual team, bookings team and the firm's in-house hospitality and front-of-house teams. Update and maintain the intranet events calendar, events forecast, mailbox and any other duties as requested by the team. Specific duties or responsibilities may be reviewed from time to time to reflect changes in personnel and management structure, staff location and services. You already have up to three years of professional experience in the event sector and are well acquainted with the event market in Washington D.C. You bring with you a solution- and goal-oriented approach, high quality and service standards and an eye for detail. With your confident manner, you are assertive and remain focused and authoritative even in stressful times. With your technical understanding, you also manage to implement creative ideas for digital formats. You are curious and observe the trends within the market and like to implement them. You round off your profile with a creative, independent, structured and team-oriented way of working. HOURS: Core hours are Monday through Friday, 9:00 a.m. to 5:30 p.m., including lunch hour, with the flexibility to work overtime as needed.
