TITLE: Event Specialist - Wasatch Adaptive Sports

LOCATION: Snowbird Resort and Murray, Utah office location

STATUS: Part-time, Seasonal, Hourly - $22 - $25 per hour

SCHEDULE: 1-25 hours per week, starting fewer hours and building as the event approaches

SUMMARY

The Event Specialist will play a crucial role in every part of the silent auction for the Wasatch Adaptive Sports Steve Young Ski Classic (SYSC), scheduled for March 22, 2025.
The Event Specialist will facilitate the auction event set-up in GiveSmart software, ensuring proper configuration of auction settings, user access, donation options, item management, welcome acknowledgments, and receipts.
They will also be responsible for creating digital displays for the silent auction through GiveSmart and physical displays for the in-person event.
They will manage the SYSC Silent Auction solicitation database, coordinate solicitation email blasts and phone calls, record item donations and drop-off information, create certificates, and distribute receipts and thank-you letters.
They will also oversee the silent auction check-out process and ship any items not picked up in person on the night of the event.

You will join a team committed to creating access and belonging in the local community.
The team creates access and belonging through their passion for skiing, biking, snowboarding, paddling, and more.

WHAT YOU'LL DO Functions Prospect donors, cultivate relationships, and solicit approximately 400 auction items for the SYSC.Facilitate clear communication between WAS and donors for pick-up and organization of auction items.Categorize and organize auction items at the Murray office, including research, logo, description, and pricing for items.Deliver tax reporting documents, receipts, and thank you letters to donors from the event.Work with the Communications Manager to send text messages for the event.Lead team of WAS SYSC phone solicitors, 1-3 people, to engage the community for silent auction donations. Areas of responsibility SYSC database management.SYSC Solicitation Team management and accountability for solicitation calls.Auction item collection, cataloging, display, and distribution. Additional requirements Helps direct visual displays and support onsite organization for the SYSC.Display creation may include moving outdoor gear, clothing, and art.
Volunteer help will be available on the night of the event. WHAT YOU NEED TO GET THE JOB DONE Required 1-2 years of silent auction specialization or event support with demonstrated success.1-2 years' experience in donation solicitation or phone sales.Exceptional organizational skills and communication tracking.Excellent project management skills to facilitate timely communications and follow-up.Effective interpersonal skills to provide meaning to the donations.Keen attention to detail in all communications, postings, and records.Commitment to valuing diversity and contributing to an inclusive work environment.A passion for Wasatch Adaptive Sports' mission and work. Preferred 3-5 years' experience in silent auction events.3-5 years' experience in soliciting via phone calls and email.Experience with GiveSmart Software. Skills & Knowledge Proficiency in Excel, Google Sheets, Gmail, and Gmass.
