Under limited supervision, the Events Services Supervisor is responsible for overseeing the planning, coordination, and execution of multiple events held concurrently at The Ingalls Event Center. This role involves managing event staff, ensuring client satisfaction, and maintaining a high standard of service throughout all stages of the event process.

TYPICAL DUTIES & RESPONSIBILITIES

:
Oversees event operations for multiple events held concurrently at the Ingalls Event Center. The facilities located at the Ingalls Event Center include: The Barn, a newly constructed facility in 2023; The Hall, a banquet facility; The Turf, grass area for multi-use events; The Arenas, two large, covered arenas for multi-use events; The Veterans Memorial Plaza; and City-owned parking lots on and off-site of the Event Center.
Supervises event staff by scheduling working hours, scheduling training, and providing clear direction to employees by developing event plans, work lists, timelines, and layouts while working collaboratively with the Facilities Superintendent. Works as efficiently as possible and provides updates to current processes as needed.
Manages an accurate booking system for daily recording, updating, billing, and maintenance of facility rentals. Manages and tracks revenues at the Event Center with a focus on capturing costs associated with each individual event to ensure financial stability of the Event Center. Research and seek other opportunities to maximize revenue potential within facility rentals.
Oversees all insurance certificates and endorsements for each individual event by ensuring the limits indicated meet all requirements deemed appropriate by the City of Norco. The oversight of the insurance requirements also includes the duties of purchasing insurance as needed for City events and Event Center clients.
Manages all Alcohol Beverage Control and Health Department licenses and regulations for events at the Event Center and work collaboratively with the Riverside Sheriff's Office and the Director of Facilities and Maintenance on security plans and applications for these licenses.
Oversees and manages all required signed waivers for participants, vendors, contractors, volunteers, and clients for each individual event as needed.
Develops and oversees multiple contracts for the City's annual rodeo events, lease agreements, licensing agreements, private security contractor, and preferred vendor list.
Prepares staff reports and presentations for the Norco City Council, Norco Veterans Commission, and the Norco Parks and Recreation Commission as needed.
Oversees, administers, and ensures event safety by complying with health and safety procedures, evacuation procedures, animal welfare regulations, event security, crowd control management, and the City of Norco's Facility Use Policy.
Upholds high standards of customer service, responding promptly to client inquiries and addressing concerns. Conducts post-event evaluations to gather feedback and identify areas for improvement.
Works collaboratively with the local health department, fire department, and building department to ensure requirements are met and inspections are completed. Must also work with third-party providers of goods and services in a professional and ethical manner.
Performs other duties as assigned, including evening and weekend events.

CONTACTS AND RELATIONSHIP

:
This position has most of its interaction with the Fire Department, Sheriff's Department, City Contracted Security Company, Public Clients, Vendors, City Officials, City Commissioners, and with other City employees.

QUALIFICATION GUIDELINES

:
The knowledge and abilities which are required to perform the duties and responsibilities of this class are as follows:

DESIRABLE QUALIFICATIONS:

Experience :
Five (5) years of progressively responsible administrative support and special events planning experience, with a minimum of three (3) years in a supervisory role.

Education :
Bachelor's degree in hospitality management, Event Planning, or related field.

Licenses and Certifications:
Possession of a California Class C Driver's License with an acceptable driving record.

Knowledge of :
Customer service practices and techniques
Marketing and Public Relations practices and techniques
General office and clerical practices and procedures
Computer literate, Internet savvy
Microsoft software, including Word and Excel
Professional phone etiquette
Modern office methods, practices, procedures, and equipment including a computer

Ability to:
Frequently work evenings and weekends
Principles and techniques of effective customer service
Interpret, and apply pertinent Federal, State, and local laws, codes, and regulations
Work independently in the absence of supervision
Understand and carry out oral and written directions
Communicate clearly and concisely, both orally and in writing
Enforce necessary regulations with firmness and tact
Operate a personnel computer
Establish and maintain cooperative working relationships with those contacted in the course of work, including City staff and the public
Maintain physical condition, audio-visual discrimination and perception, and mental capacity appropriate to the working conditions and the performance of assigned duties and responsibilities

The Event Supervisor will primarily work in an indoor office environment but will also spend time in event spaces, which may include both indoor and outdoor settings. The role may involve standing for extended periods and occasional lifting of equipment or supplies.

hear; use hands to finger, handle, feel, or operate objects, tools or controls; reach with hands and arms; perform repetitive movements of hands or wrists; climb or balance on ladders or stairs; stoop, kneel, and bend at the waist; crouch or crawl; and smell. The employee is frequently required to lift 25 pounds unaided.

Specific vision abilities required for this job include close vision, distance vision, use of both eyes, depth perception, color vision, and the ability to adjust focus.

EMERGENCY SERVICES:
All City employees are required to perform assigned Emergency Service duties in the event of an emergency or disaster.

Employees must complete the required FEMA courses within six months of employment.
