Job Summary
The Executive Assistant to the CEO provides high-level administrative support, acting as a liaison between the CEO and both internal and external stakeholders.
This role involves managing a wide range of administrative and executive support tasks, ensuring the smooth functioning of the CEO's office, and handling confidential matters with professionalism.
The ideal candidate is highly organized, proactive, advanced administrative skills and possesses strong communication and problem-solving skills.
Responsibilities
•Performs administrative tasks as assigned in support of CEO & Executive Staff
•Prepares correspondence; draft, edit, and manage correspondence, reports and presentations on behalf of CEO
•Acts as point of contact between CEO and internal/external stakeholders
•Manages executives' calendars as needed, schedules meetings, prepares agendas and presentations, orders meals as appropriate, operates audio-visual systems during meetings, records and distributes meeting notes or minutes
•Schedules and coordinates events, board meetings, conferences, and executive team retreats.
Assists CEO in preparation for board and committee meetings
•Assists executives with travel arrangements; schedules flights, makes hotel reservations and coordinates out-of-town meetings or virtual meetings
•Provides administrative support for projects.
Schedules and prepares for project team meetings, conducts research as required, documents key decisions and action items during meetings, and maintains project documentation as required
•Assists with the development and distribution of Public Relations and internal communications materials, including brochures, pamphlets, newsletters, announcements and videos
•Edits and proofreads social media content, videos, press releases, emails, and other communications about the Austin Lighthouse that will be sent to the public
•Maintain company certifications, contracts, and other compliance as necessary.
•Complies with and assists other employees in understanding and complying with TAB's policies and procedures

•Performs other duties as assigned

Minimum Education and Experience
•High School diploma
•Associate's or bachelor's degree preferred
•4+ years as Executive Assistance
•Advanced knowledge in software packages, (Microsoft Office, Salesforce, etc.)
•Supervisory experience is a plus

•Strong communications, collaboration, and interpersonal skills.
•Excellent organizational skills, an eye for detail, and the ability to work well with people at all levels within the company or organization required
•Advanced written and oral communication skills.
Good spelling and grammar skills and mastery of word processing, database, and presentation software required
•Ability to multi-task in order to manage multiple projects at a time; use discernment regarding which tasks are truly urgent, and which can wait
•Mission-driven and able to work with all departments within TAB in order to be effective
•Excellent time management skills to manage high volume in a fast-paced environment
•Must be team & people-oriented, professional, poised, and display a "can-do" attitude
•Strong decision-making and problem-solving skills
•Strong ethics and discretion with confidential or sensitive information
•Able to read, comprehend and understand information/ideas presented in writing or alternative form
•Possesses cultural awareness and sensitivity

Physical Requirements
