To deliver on the Global Commercial Services (GCS) vision of being essential to our customers businesses every day we continuously push the innovation agenda to deliver new products and services across the organization. The Executive/Admin Assistant is a critical member of the GCS and Enterprise Solutions who provides organizational support and ensures that the team's logistical needs are met, and helps to promote a positive atmosphere and work culture. The successful candidate will be responsible for day-to-day administrative support for three vice presidents (VP) including calendar, travel, and expense management. In addition, they will support 3 VPs and each VP's teams on personnel-related tasks including onboarding and offboarding of colleagues, supply management, and other ad-hoc projects such as colleague engagement.

Key responsibilities:
Calendar management across time zones 
Coordinating and leading all aspects of internal meetings, including reserving space, audio and visual setup, catering, and production of meeting materials when applicable
Planning and hosting of VP site visits/team events, including travel arrangements, conference room reservations, catering/restaurant reservations, and team building activities
Supporting the on-boarding and off-boarding of colleagues, including coordinating first/final days, and arranging for workspace, laptops, phones, Corporate Cards, office supplies, and all HR administration
Owning the procurement process for laptops, phone, and office supplies
Ensuring timely processing and tracking of expense reports and invoices
Maintaining headcount reporting, organizational charts, and department distribution lists
Handling travel arrangements including air, hotel, transfers, and agendas
Supporting department finances and report requests
Leading various projects across VP teams

MinimumQualifications:
Excellent organizational skills with attention to detail and ability to handle confidential information with discretion
Strong interpersonal and networking skills to build and maintain high-impact relationships across all areas of the organization
Desire to understand the goals of the team and the relative importance of various partners and what they do
Strong work ethic, highly self-motivated, and understands the need to be a teammate
Demonstrated ability to remain calm under pressure and be flexible when faced with changing/conflicting priorities
Proficient in Microsoft Outlook, Excel, Word, PowerPoint, Concur, Ariba Buyer and other internal platforms

Preferred Qualifications:
Bachelor's degree preferred but not required

Salary Range: $24.05 to $48.10 hourly + bonus + benefits
