Executive Assistant At Non-Profit With Mission To Improve Diversity Education

A non-profit with a mission to increase minority education that has been active for over 70 years is looking for an Executive Assistant to support C-level executives in the office of the President including the President/CEO, Chief Operating Officer and the Chief of Staff.
About the ** Compose and prepare letters for the executives' signature
Handle confidential and sensitive information with discretion
Screen incoming phone calls delivering detailed, timely messages to the appropriate parties
Assist in the preparation and distribution of meeting agendas and materials
Assist in the development of presentations for internal and external audiences.
Attend meetings and take notes; prepare the initial draft of minutes and summaries
Bring priority matters to the attention of the Deputy Chief of Staff; redirect matters to the appropriate individual or handle matters personally, as appropriate
Keep the Deputy Chief of Staff advised of time-sensitive and priority issues, ensuring appropriate follow-up
Schedule internal and external meetings, conferences and teleconferences
Coordinate complex travel arrangements including flights, cars, hotels, and other reservations
Process expense reports
Interact with the leadership team, Board of Directors, and key donors
Order supplies, maintain inventory and request equipment maintenance and technical support
Acts as backup to other Executive Assistants in the Office of the President
Special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material, when needed
About * Minimum of 5 years of experience in a related support position
BA/BS from a college or university a plus
Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook), CRM, Concur and ADP
Comfortable interacting with high-level executives
Polished, professional demeanor
Proactive go-getter; no task is too big or too small
Outstanding communication skills
