Job SummaryThe Executive Assistant is responsible for providing primary administrative support to the Associate Vice President for Faculty Affairs and the Assistant Vice President for Faculty Inclusive Excellence for the Office of Faculty Affairs. The incumbent also provides administrative support for special projects, events, and functions.Key ResponsibilitiesProvide high level support to the Associate Vice President for Faculty Affairs and the Assistant Vice President for Faculty Inclusive Excellence - Serve as the primary contact for the AVP and Assistant VP in managing the effectiveness and efficiency of the office. Independently handles priority dated tasks and projects. Maintains confidentiality and handles sensitive situations within the scope of the job.Provide administrative support for Faculty Affairs (inclusive of Faculty Center) special projects, events, and functions - Serves as the main point of contact and provides timely response to phone and email questions from colleges, departments, and individual faculty members regarding Faculty Affairs processes within the scope of this position. Independently handles scheduling, calendaring, and coordinating multiple meetings, including meetings with external parties, and recurring campus events and meetings. Coordinates event planning and catering as needed. Organize and support meetings as needed by taking meeting notes and coordinating action items.Knowledge Skills and AbilitiesDemonstrated strong people skills and customer service orientation. Strong organizational skills and ability to multi-task. Demonstrated sound judgment in balancing priorities in completing daily tasks. Excellent interpersonal skills: ability to build and maintain positive working relationships. Ability to take initiative and plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved. Strong oral and written communication skills. Ability to work collaboratively in teams, both inside and outside the unit. This position requires a self-starter, who will take the initiative to pitch in and help others when necessary, and who takes the initiative to suggest improvements to the operations of Faculty Affairs.Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. Ability to contribute to a positive university experience for each and every student, and assist in achieving the university's commitment to a "vision of excellence."Education and ExperienceEquivalent to five years of administrative support experience required.A bachelor's degree is strongly preferred.Minimum of two years of experience working in a CSU college or department office preferred.Physical SummaryLight work - Job involves some lifting of medium weight objects (10-20 pounds) and/or 10% - 20% of the job involves standing or walking.DepartmentFaculty AffairsClassificationAdministrative Support Coordinator IICompensationSalary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department's fiscal resources.CSU Classification Salary Range:The CSU Classification Salary Range for this position is $3,865 - $6,336 per month.BenefitsExcellent benefits through CalPERS (health, vision, dental), tuition fee waiver, generous vacation and sick leave, and 14 paid holidays each year.Time Base1.0 time-base, 40 hours per week.Duration of AppointmentThis is a temporary position for 1 year with no permanent status granted.
