We are seeking a highly organized and proactive Executive Assistant to support the Vice President of Operations. This role is ideal for an individual looking to grow professionally and personally within a dynamic environment and develop a broad skill set within the exciting industry of aesthetics. The Executive Assistant will be mentored and coached to gain in-depth knowledge of our business operations. Key Responsibilities: Take comprehensive meeting notes, and distribute minutes. Manage job postings. Filter through resumes. Schedule interviews. Assist in the preparation and compilation of reports, presentations, and documentation. Conduct quality assurance checks at all locations, ensuring cleanliness and adherence to standards. Coordinate and run errands as needed to support daily operations. Booking software maintenance. Contact patients and compile documentation to respond to disputes. Participate in training across all departments, including front desk operations and call center activities. Cover shifts at the front desk and call center as needed. Develop a comprehensive understanding of all departments to support cross-functional tasks. Maintain strict confidentiality regarding sensitive information and company operations. Ensure compliance with industry standards and internal policies. Collaborate with the VP to accomplish big picture initiatives. Other miscellaneous tasks. Qualifications: High school diploma. Previous work experience in a professional setting. Experience as an administrative or assistant role in a service-oriented environment is a plus. Strong organizational skills with the ability to manage multiple tasks and priorities. Excellent communication and interpersonal skills, both written and verbal. Tech savvy - proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and able to catch on quickly to new platforms. Ability to work independently and collaboratively as part of a team. High level of integrity and professionalism, with a commitment to confidentiality. Working car required for travel between spa locations. Coachable with a positive attitude, eager to learn and grow within the role.
