We are seeking a highly organized, proactive, and adaptable Executive Assistant to support our executive team. As an Executive Assistant at Lumio Dental, you will play a key role in ensuring smooth day-to-day operations, enabling our executives to focus on driving growth and delivering on our strategic vision.
Bright Smiles, Brighter Futures Meeting Coordination: Schedule and prepare for meetings, including agenda creation, document preparation.EIN Application Process: Manage the entire process of applying for EINs for new and existing business entities, including sole proprietorships, LLCs, corporations, and partnerships.Record Keeping: Maintain organized records of EIN applications, issuance dates, and corresponding business information for future reference.Project Management: Assist with special projects, including research, reporting, and tracking progress on various initiatives.Confidentiality & Discretion: Manage sensitive information with the highest level of discretion and professionalism.Team Collaboration: Work cross-functionally with other departments to assist in the coordination and execution of company wide initiatives.Event Planning: Organize internal and external events, including conferences, training and team meetings.Expense Management: Handle expense reports, budgets, and financial documentation for executives.Provider Support: Act as a liaison between the doctors and the company to manage overall provider experience including details such as benefits, contract questions, etc.Contract Management: Organize and oversee provider employment contracts, providing data to executive staff for board reporting purposes. Position Requirements: 3-5 years of experience in an executive assistant or similar role, preferably in a healthcare or corporate environment.Bachelor's degree preferred or equivalent experience.Strong organizational skills, excellent verbal and written communication abilities, and a proactive approach to tasks.Proficient in Microsoft Office Suite & Google WorkspaceHigh level of integrity, discretion, and confidentiality in handling sensitive information.Ability to think ahead, anticipate challenges, and offer solutions.
