This position provides high-level administrative support to multiple designated senior leaders within Korn Ferry Korea office. As Korn Ferry is a premier global consulting firm, the position acts as a representative of the executive(s), managing internal and external relationships, including those members in the regions and U.S. Headquarters and constantly anticipates partner(s)'s needs.
The ideal candidate will possess significant administrative operations experience and have the ability to work independently, yet take direction from managers. The candidate must be well-organized, a self-starter, flexible and resourceful, as well as fluent in English. The role requires initiative and organization skills to represent Korn Ferry in a professional and polished manner with the goal to ensure a high degree of client satisfaction, both internal and external. Core competencies required to excel in this role are multi-tasking, proactive and punctual coordination, collaboration, attention to detail, ability to prioritize, communication, problem solving, adaptability, and empathy.
Key Responsibilities: High-Level Administration SupportServe as a central point of contact for senior leaders to access specialized services including client research, graphics and production, and operations, as well as for administrative inquiries. Use knowledge of corporate resources and strong internal relationships to work efficiently.Coordinate travel schedules for senior leaders, both domestic and international, preparing a detailed itinerary and agenda prior to departure, anticipating travel related preferences.Assist with other administrative duties such as file maintenance, photocopying, scanning, mailings, troubleshooting, binding, and meeting planning.Handle calls for the senior leaders, working with other support staff to ensure phone coverage during breaks and other periods of absence.Handle sensitive matters with confidentiality and discretion.Support other colleagues and team when possible, providing timely answers to requests.On-site Meeting SupportMaintain daily schedules including internal meetings, conference calls involving multiple time zones, setting video conferences, and client meetings, anticipating the consultant(s) needs, ensuring IT equipment is set-up and coordinate supplies and catering as needed.Represent the organization and leaders to internal and external parties as required.Accounting/FinancePrepare and submit accurate expense reports on a regular basis for Senior Client Partners and reconcile statements.Prepare and save timesheets regularly in PSA for Senior Client Partners, showing utilization time allocated to each engagement.Code and submit invoices, prepare check requests for leaders.Business SupportBased on high business acumen and knowledge of the leaders' needs and preferences, this position holder provides broad business support to the leaders, such as:
Collaborate with partner(s) and accounting to open projects and follow up on receivables as needed.Update business development database and prepare, proofread, translate and edit reports and materials for review.Prepare high quality, professional deliverables, including responses to requests for proposals, presentations, reports, and general correspondence.Compile, prepare, edit and format various reports, presentations and business documents, as well as charts and tables for presentations and/or reports.Collect, assemble and summarize statistics and information, and analyze trends, data, and information from a variety of sources within prescribed guidelines and procedures.Professional Experience/Qualifications: A bachelor's degree or equivalent qualification.Three to five years of relevant work experience of assisting senior leaders in a business environment preferred, ideally in a professional services firm.Excellent PowerPoint skills with high proficiency in the Microsoft Office suite (Outlook, Word, and Excel).Working knowledge of HCM / SAP / Salesforce preferred.Demonstrated track record of sound judgment and professionalism with the ability to work with senior level executives across multiple business lines and regions preferred.Ability to maintain confidentiality and discretion in dealing with sensitive matters.High degree of interpersonal and professional savvy across varying levels of internal management, staff, clients, and associates, with the ability to manage expectations.Ability to work in collaboration with other colleagues and team in a professional manner.High level of business acumen; able to make timely decisions and drive to action.Strong analytical skills and ability to translate to operational processes.Must be able to work independently with little supervision but able to take direction from executives, be detail-oriented, be proactive, flexible in terms of hours/responsibilities, and able to organize and prioritize multiple deadlines.Excellent organizational capabilities, with high degree of prioritization.Excellent written and verbal communication skills both in Korean and English; customer service focused with excellent phone etiquette.Note: Please submit your application with an English Resume
