We currently have an exciting opportunity for an Executive Assistant to join our team. This is a great opportunity for an experienced Executive/Personal Assistant to provide high quality executive support to the two Directors of the business. We are looking for a highly organised and passionate individual with the ability to manage priorities across the business and efficiently manage the Commercial Director and Managing Director's schedules.
Key Responsibilities:
· Perform effective diary management for the Directors, ensuring appointments are scheduled and any documentation is prepared.
· Hold weekly meetings with the Directors to ensure progress on outstanding actions and identify updates/further actions required.
· Draft correspondence, send emails and relay messages on behalf of the Directors.
· Arrange company meetings, prepare agendas, chair meetings, take minutes and ensure actions are followed up and completed.
· Attend meetings with or on behalf of the Directors, taking notes and following up on actions.
· Build strong and professional relationships with the Directors and management team.
· Make considered low level decisions on behalf of the Directors where appropriate.
· Provide wider executive administrative support to the management team and external visitors as required.
· Manage competing diary requirements across the company.
· Support on various projects for both the Directors and wider management team.
· Identify opportunities for improvements and embrace the ISO standards.
· Maintain and encourage a positive, collaborative and proactive company culture.
· Organise travel and logistical arrangements for Directors and the management team where required.
· Support the preparation of client meetings (internal and external) where required.
· Support the HR and Facilities teams to coordinate internal company meetings and events.
· Communicate with internal and external stakeholders, partners and clients.
· Adhere to purchase order processes and be the nominated buyer for purchases.
The ideal candidate:
· Previous PA/Executive Assistant experience.
· Excellent attention to detail.
· An excellent command of the English language, both spoken and written.
· Ability to communicate confidently at all levels in an engaging and positive manner.
· Ability to use initiative, prioritise, manage own workload and anticipate the needs of others.
· Excellent organisational and administrative skills.
· Ability to build and maintain effective working relationships with a range of people, resolving conflicts or problems as they arise.
· An understanding of
commercial/business
requirements and how they impact on priorities.
· Ensuring tact and confidentiality at all times.
· Advanced Microsoft Office skills.
· Ability to remain calm under pressure.
· Flexible and adaptable – may require occasional out of hours contact to support business needs.
